Job Summary

Key Responsibilities
  • Accounts Payable (AP) Management
    • Process and code AP invoices for entry into our ERP system
    • Enter AP invoices into our ERP system
    • Process twice monthly payments to vendors
    • Mailing out checks to vendors, ensuring accurate address information
    • Filing paid invoices in our AP filing system
  • Cash Receipts Management
    • Update system software with cash receipts on a daily basis or as received
    • Tally daily cash receipt totals and submit to Accounting Manager for bank deposits
  • Customer and Vendor Management
    • Create new customers or vendors and make changes as needed
    • Ensure all US customers provide a tax resale certificate and AP email address before setup
    • Send credit inquiries for new customers when needed
    • Ensure all US vendors provide a W-9 before setup
    • Update customer or vendor information as needed
  • Vendor Inquiries and Communication
    • Act as additional point of contact for vendor inquiries regarding payment status
    • Review vendor statements for open invoices and communicate status to vendors
  • Filing and Documentation
    • Maintain filing system for Accounting department for both AR and AP functions
    • Email Diamond Gear invoices to customers as needed and file documentation
  • Additional Responsibilities
    • Perform other duties as required by Accounting Manager
Requirements
  • A High School diploma or GED is recommended and/or equivalent experience in the accounting industry
  • Natural team player with a collaborative style, demonstrated by effective teamwork and influence across the organization
  • Proficient in MS applications (Word, Excel, Outlook, and PowerPoint) strongly recommended
  • Strong sense of urgency
  • Self-motivated with ability to learn, understand, and follow procedures
  • Strong communication skills
