Position Summary: The Recruitment Operations Specialist plays a crucial role in assisting the Talent Acquisition team by managing administrative duties, coordinating interviews, and facilitating candidate interactions. This position is essential for maintaining an efficient recruitment workflow and ensuring a positive experience for both candidates and hiring managers.

Core Responsibilities:

Recruitment Assistance: Oversee contractor transitions

  • Handle requisition requests, organize intake meetings for recruiters or hiring managers, and finalize the ticket process.
  • Provide sourcing support as needed.

Candidate Engagement: Maintain communication with candidates throughout the hiring process, delivering timely updates and fostering a positive candidate experience.

  • Send notifications to hiring managers regarding candidate readiness.
  • Inform candidates about the completion of background checks and I-9 documentation.
  • Distribute monthly referral requests to new employees.

Interview Management: Coordinate and schedule interviews between candidates and hiring managers, ensuring all logistical aspects are handled effectively.

Administrative Support: Aid in the development of recruitment marketing initiatives, manage the applicant tracking system (ATS), and perform other administrative functions as required.

Reference Verification: Conduct reference checks for candidates when necessary.

Onboarding Assistance: Support the onboarding process for new employees as needed.

Recruitment Analytics: Produce weekly reports to monitor the progress and success of recruitment activities.

Job Fairs and Recruitment Events: Assist in the organization and execution of job fairs and recruitment events, representing the company and promoting its brand.

  • Facilitate large-scale interview scheduling with various departments, particularly during days with multiple interviewers.

Qualifications & Skills:

  • Bachelor's degree in Human Resources, Business Administration, or a related discipline is preferred.
  • 1-2 years of experience in recruitment or HR administration is required.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with applicant tracking systems (ATS) and HR software.
