Dermatology Practice Supervisor

**Job Summary:**
We are seeking an experienced Practice Supervisor to join our team at Southwest Dermatology & Vein. As a key member of our staff, you will oversee the day-to-day operations of our medical office, ensuring seamless patient care and efficient administrative processes.
Main Responsibilities:
- Manage a team of 10 employees across four locations in South Austin, Buda, Dripping Springs, and Manor.
- Oversee staff scheduling, ensuring optimal staffing ratios based on patient volume.
- Review PTO requests, monitor overtime, and ensure employees take breaks and lunches as required.
- Interview, hire, coach, and terminate staff as necessary.
- Serve as the initial point of contact for patient complaints.
- Maintain knowledge of current labor laws and HR regulations.
- Conduct employee reviews and resolve conflicts effectively.
- Enforce policies and procedures while updating them as needed.
- Monitor injectable and product inventory.
- Closely work with other departments to reconcile encounters, packing slips, invoices, and receipts.
- Ensure daily patient payments are reconciled and balanced with cash receipt logs.
- Manage office petty cash systems, receipts, and expense journals.
- Oversee the repair and maintenance of all office equipment and facilities.
- Promote proficient use of medical billing, insurance payments, and revenue cycle management.
- Proficiency in QuickBooks, Microsoft Excel, and Word is required.
- Accounting and financial management using QuickBooks involves managing practice finances, paying invoices/bills in a timely manner, recording, reconciling, and delivering month-end reports to the Accountant monthly.
- Process biweekly payroll and stay updated on regulatory compliance, training on HIPAA, Employee Manual, and compliance plans.
- Participate in marketing efforts through print advertising, community outreach, and online media.
- Oversee IT and phone systems, including PM, EHR, and Legacy systems.
- Able to make decisions and act upon them confidently.
- Demonstrate strong organizational and leadership skills.
Requirements:
- Bachelor's degree in Business or Healthcare Management preferred.
- Two to five years of experience in a related setting.
- Expertise in HIPAA, CMS Compliance Plans, MIPS, QuickBooks, Microsoft Office (especially Excel), medical terminology and coding, medical billing, and electronic medical record systems.
Estimated Salary: $60,000 - $80,000 per year, commensurate with experience.
Schedule: Monday through Friday; 8 am - 5 pm.
Work Location: South Austin (Westgate) with frequent travel to other locations.
