Collaborating closely with our Member Services Team, the Community Engagement Coordinator will be pivotal in ensuring the success of our shared workspace model, contributing to daily operations and maintaining a productive and welcoming environment. This role also involves managing reception duties, conducting tours, and facilitating the sales of workspace memberships and event spaces.

The ideal candidate will have a background in co-working environments, corporate settings, or customer service. They should be adept at engaging with a diverse range of individuals daily and thrive in a fast-paced, collaborative atmosphere. A personal connection to Oakland is highly valued, as our mission is deeply intertwined with the local community.

Work Schedule

  • This is a full-time, non-exempt role.
  • Flexibility is required, with potential weekend and evening hours.

Compensation Package

  • Hourly wage ranges from $23 to $30, based on experience.

Key Responsibilities

  • Oversee sales of community spaces and private offices
  • Address technical issues related to audio and video equipment
  • Prepare private offices and co-working areas for potential clients
  • Communicate property issues and damages to facilities management
  • Ensure daily access for members and staff to the building
  • Draft legal documents for private office sales
  • Manage all mail-related tasks
  • Deliver outstanding customer service during client interactions
  • Maintain accurate bookkeeping records and spreadsheets
  • Coordinate payment plans with previous clients
  • Ensure accurate recording of customer payments
  • Update client accounts with payment and contact information
  • Negotiate contracts with prospective clients and explain membership options
  • Maintain cleanliness and organization of co-working spaces

Minimum Qualifications

  • High School Diploma or equivalent; a bachelor's degree is advantageous
  • Experience in office management, reception, or customer service roles
  • Outgoing personality; comfortable engaging with diverse individuals while managing daily tasks professionally
  • Experience with a variety of cultural and professional backgrounds
  • Strong communication skills in person, over the phone, and via email
  • Basic proficiency in G Suite, spreadsheets, and calendar management
  • Ability to lift up to 50 pounds and travel between locations
  • Willingness to work occasional evenings and weekends as necessary
  • Ability to leverage an existing network in support of Oakstop's initiatives

Additional Preferred Qualifications

  • Established relationships within the Oakland community
  • Background in arts, digital media, or creative fields
  • Fluency in multiple languages
  • Experience in music, theater, or performance settings
  • Familiarity with social enterprises and startups
  • Proficiency in sales software such as Liquidspace, Tripleseat, and Peerspace
