Job Description

Project Solutions Inc. is a professional project management firm with extensive experience in government contracting. We are seeking a highly skilled Project Coordinator/Accounts Payable Specialist to support one of our largest clients.

Key Responsibilities:
  • Accounting:
    • Process accounts payable transactions accurately and timely, ensuring compliance with company policies and procedures.
    • Reconcile vendor statements and resolve discrepancies in a timely manner.
    • Utilize software such as QuickBooks Online (QBO), Project Schedule (PSA), and Microsoft Office Suite to manage financial operations.
    • Handle account reconciliation, including credit card statements, and maintain accurate records.
    • Set up new vendors, including requesting W-9 forms, subcontractor agreements, and certificates of insurance, and follow through until tasks are completed.
    • Perform weekly AP check runs and ensure timely payment to vendors.
  • Project Coordinator:
    • Set up all incoming jobs, ensuring accurate and timely completion.
    • Assist the Project Manager with PSA proven jobs software, importing pictures, job notes, job schedules, work orders, and other relevant information.
    • Work with various building departments for permitting, scheduling inspections, and project close-outs.
  • Administrative Support:
    • Provide high-level support to the Project Manager and inspectors, including managing calendars, coordinating travel arrangements, preparing expense reports, and handling confidential correspondence.
    • Assist in the preparation of executive presentations and reports.
    • Manage special projects as assigned by the Project Manager.
Requirements:
  • Requires two (2) years' experience in a staff or administrative capacity managing special projects, programs, or business operations in Accounts Payable or closely related experience.
  • Understanding of government contracts is highly desirable.
  • Excellent written and verbal communication skills.
  • Detail-oriented and highly organized.
  • Ability to work autonomously as well as take direction as needed.
  • Highly motivated and capable of seeing projects through from beginning to end.
  • Strong technical skills and experience with Microsoft Word, Excel, PowerPoint, Publisher, and Outlook.
Work Environment:

This position operates in a professional office environment using standard office equipment such as laptop computers, photocopiers, and smartphones.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position will require the ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.

Position Type/Expected Hours of Work:

Days and hours of work are Monday through Friday, with flexible scheduling options. Position operates during regular business hours. Occasional evening and weekend work may be required as job duties demand.

Travel:

Little to no travel is expected for this position.
