POSITION SUMMARY:

The Event Operations Supervisor will oversee the comprehensive management of events within our facilities. This role involves providing guidance, training, and development opportunities to front-line managers and part-time personnel during events. The Supervisor will collaborate closely with external event organizers, fellow leaders, and the Finance Manager to achieve operational success.

PRIMARY RESPONSIBILITIES:

  • Recruit, train, and manage part-time staff to ensure adherence to company policies and relevant regulations.
  • Participate in strategic planning meetings.
  • Facilitate effective communication with event organizers before and after events.
  • Oversee the meticulous organization and administration of events.
  • Assist in ensuring compliance with labor laws.
  • Be present on-site during events to manage personnel and production aspects.
  • Negotiate and establish contracts with vendors while fostering positive relationships.
  • Develop a comprehensive understanding of the events portfolio, including operational goals and revenue sources.
  • Communicate with various departments within the events team, including marketing and sales.
  • Ensure compliance with health and safety regulations, quality control, expense management, and facility maintenance.
  • Supervise proper cash handling procedures.
  • Collaborate with the Business Development Director to ensure effective communication regarding contracts and logistics.
  • Lead cross-functional teams.
  • Ensure events meet safety standards.
  • Train staff on event protocols and safety measures.
  • Develop and manage budgets while controlling expenses.
  • Analyze event performance and prepare presentations on metrics.
  • Promote company culture and expectations among staff.
  • Ensure staff readiness for events.
  • Work with the General Manager and Finance Manager to create KPI reports.
  • Contribute to the Facility Business Plan and its execution.
  • Manage food and beverage services.
  • Provide final operational approval for event setups.
  • Oversee accurate inventory reporting.
  • Serve as Manager on Duty during evenings and weekends.
  • Maintain fair and equitable business practices with all vendors and clients.
  • Perform various other duties as required.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in management, sports management, business, or a related field with 5-7 years of experience in a leadership role within operational or event management.
  • Strong interpersonal, project management, and problem-solving skills.
  • Team-oriented mindset.
  • Excellent verbal and written communication abilities.
  • Proficient in computer applications, including Word, Excel, and PowerPoint.
  • Flexibility to work varied schedules, including weekends, nights, and holidays.
  • Willingness to obtain CPR certification.
  • Highly organized, efficient, and capable of meeting deadlines.
  • Ability to manage multiple tasks simultaneously under tight schedules.

WORKING CONDITIONS AND PHYSICAL DEMANDS:

  • Ability to lift up to 50 pounds at waist height.
  • Capacity to sit or stand for extended periods in various environments.
  • Occasional travel may be necessary.
  • Availability for weekends, nights, and holidays is required.
