Job Summary

We are seeking a highly skilled and detail-oriented Staff Accountant to join our team. As a Staff Accountant, you will be responsible for compiling data, computing fees and charges, and preparing invoices for billing purposes. You will also communicate with customers and co-workers to complete responsibilities, and ensure the confidentiality and security of all financial and employee files.

Key Responsibilities
  • Process weekly payroll information for 3 unions, including timesheets and other relevant documents.
  • Document customer-related communications in our internal customer service system.
  • Ensure the accuracy and security of all financial and employee files.
  • Process accounts receivable weekly and monthly, including emailing invoices, scanning documents, and mailing checks.
  • Prepare monthly union medical, union dues, and pension reports for three unions.
  • Respond promptly to customer inquiries for information and documentation requests on their accounts.
  • Communicate directly with department managers regarding past-due customers.
  • Prepare collections letters and aging reports.
  • Research rebate checks.
  • Prepare, generate, and review various internal reports.
  • Apply payments to accounts and reconcile customer accounts with the customers.
  • Assist in the mailing of invoices and checks.
  • Assist in setting up customers and making changes to customer accounts.
  • Support accounting operations by filing documents, reconciling statements, and running software programs.
  • Interact with others in a professional and ethical manner.
  • Follow department and company procedures.
  • Attend work regularly and punctually, as regular attendance and punctuality are essential for the smooth operation of the company.
Requirements
  • Minimum of two years of education beyond a high school diploma (Associate's degree preferred).
  • Minimum three years of experience in an accounting position.
  • Must have experience in accounts receivable and payroll.
  • Ability to follow oral and written directions to complete assigned tasks.
  • Ability to utilize problem-solving techniques and demonstrate analytical skills.
  • Ability to multi-task and work well with others.
  • Excellent communication skills.
  • Ability to investigate and document customer issues.
  • Proficiency with Word, Excel, and Outlook, and preferably Paylocity (or similar software application).
  • Less than 5% travel required.
Physical Demands/Requirements
  • Constantly: operates computer and other office productivity machinery, remains in a stationary position for 50% or more of the time, reviews documents, organizes data, and detects accuracy of information.
  • Frequently: moves throughout the office, accesses files, office machinery, communicates with customers and co-workers, and exchanges accurate information in-person, telephonically, and via electronic devices/e-mail.
  • Occasionally: moves materials or documents up to 25 lbs.
