As a vital member of our team, your primary functions will encompass Billing (B), Payroll (PY), Processing (PR), and Customer Service (CS). Your duties will include:
- Creating, updating, and reviewing records for both employees and clients (PR, CS).
- Inputting data into our computer systems to ensure accurate record management (All).
- Managing both new and existing DocuSign accounts (PR, CS).
- Preparing and dispatching documents through approved channels (PR, CS).
- Ensuring documents are properly named and stored within our management system (PR, CS).
- Assisting stakeholders with document retrieval (PR, CS).
- Acting as a point of escalation for DocuSign support queries from Operations staff and clients (PR, CS).
- Maintaining compliance with all standards for auditing purposes (All).
- Reviewing timesheets and tracking time (PY).
- Conducting proofing and posting activities (PY).
- Analyzing overlap and overtime reports (PY, CS).
- Making and receiving calls to assist both internal and external stakeholders (All).
- Completing payroll checklists accurately for assigned agencies and resolving discrepancies (PY).
- Collaborating with supervisors to identify strategies for minimizing errors (All).
- Working with staff to address rejected timesheet issues and reduce out-of-cycle payroll disbursements (RFP's) (CS, PY).
- Performing administrative tasks such as filing, copying, and data entry (All).
- Preparing and submitting invoices to agencies (B).
- Processing payments (B).
- Following up on unpaid claims (B).
- Ensuring confidentiality of client-related records (All).
- Collaborating with colleagues to enhance service delivery (All).
- Identifying opportunities for process improvements (All).
- Upholding the values and mission of the organization (All).
- Performing other assigned duties as necessary (All).
- A High School Diploma or GED is required.
- An Associate degree is preferred.
- A minimum of 1 year of relevant work experience.
- Strong written and verbal communication abilities.
- Proven experience in managing complex projects with critical thinking and problem-solving skills.
- Excellent organizational and administrative capabilities, with a track record of meeting deadlines through effective planning.
- Ability to manage work pressure while demonstrating time management skills.
- Proven ability to foster positive relationships and communicate effectively with individuals from diverse backgrounds.
- Experience in initiating and maintaining a highly effective team environment.
- Proficient in Microsoft Office applications and Internet usage.
- Competent in using Excel.
- This position is based in a typical office setting or a home office if remote.
