As a key member of the James City County team, the Deputy Registrar - Absentee Voting Specialist plays a critical role in ensuring the integrity of the democratic process. This position is responsible for managing all aspects of absentee voting, including mail/email applications, ballot issuance, and voter communication.
Responsibilities- Process and manage absentee mail/email applications, ensuring timely and accurate processing in accordance with federal and state election laws.
- Communicate effectively with voters, including military and overseas citizens, to ensure their absentee voting needs are met.
- Manage and maintain accurate records of absentee voters, including scanning and attaching applications, and ensuring voter privacy.
- Process and mail/email ballots to absentee voters, ensuring timely and accurate delivery.
- Receive, process, and review ballot envelopes for completeness, and communicate with voters regarding any deficiencies.
- Serve as a liaison between the Office of Elections and vendors related to absentee voting.
- Provide direct supervision and support to on-call staff and volunteers as needed.
- Design, implement, and maintain tracking and projection spreadsheets for absentee voting.
- Maintain accurate records of absentee voting for all elections, in accordance with retention requirements established by the Library of Virginia.
- Design and implement an annual calendar for tasks related to absentee voting.
- Recognize and project stringent deadlines, ensuring staffing and supplies are in place to meet such deadlines.
- Manage and maintain absentee mail supplies, and assist with future projections for supply/absentee infrastructure needs.
- Prepare, maintain, update, and print forms, envelopes, binders, and labels as needed for all Election Day precincts.
- Support front office operations and other areas within the Office of Elections as needed.
- Must be a qualified voter in Virginia.
- Must possess, or obtain within 30 days of hire, a valid Virginia driver's license and have an acceptable driving record.
- Thorough knowledge of standard office procedures, practices, and equipment.
- Ability to read, comprehend, and implement Virginia Election Laws.
- Advanced computer software skills, including Microsoft Office Suite and Adobe.
- Ability to communicate effectively, both orally and in writing.
- Ability to work some irregular, weekend, and holiday hours.
