About the Position

The Operations Specialist plays a critical role in supporting the administrative functions of the Early Identification Program (EIP) at George Mason University. This position oversees front-line operations, purchasing, telecommunications, inventory control, scheduling, and the supervision of student workers. The Operations Specialist provides support to the Executive Director and staff with completion of projects and executing events.

Key Responsibilities
  • Monitor and improve the daily workflow of the office for efficiency and productivity, ensuring that services are provided to program partners, students, and staff.
  • Hire, train, supervise, and evaluate Office Assistants, ensuring that the front desk is staffed during business hours and that student employees provide professional guidance and implement key service functions.
  • Oversee purchasing and maintenance of inventory of office equipment and supplies, ensuring that equipment is functioning properly and requesting repair when needed.
  • Maintain student files, including the annual archiving process, ensuring that files are created for incoming students, that documents prepared for student pick-up are appropriately filed, and that student files are stored correctly.
  • Provide logistical support for programs, working closely with the Associate Director and program staff to request and reserve space, arrange catering and event services, and ensure proper procedures are followed for student safety and compliance.
  • Work closely with the Budget Specialist to ensure all purchases and expenses are tracked, supplies are accounted for, and the program is in compliance with purchasing and other fiscal policies.
Requirements
  • Associate's degree in a related field or equivalent combination of education and experience.
  • Experience in delivering high-level customer service, purchasing and expense tracking systems, supervising front desk staff, and working in a fast-paced office environment.
  • Ability to navigate Banner and other systems of record, customer resource management systems, and systems designed to track and monitor expenses.
  • Ability to train front desk staff and implement best practices for customer service, manage multiple tasks with attention to detail, and communicate clearly and draft clear and coherent emails and other forms of correspondence.
