The Reception Coordinator plays a vital role in overseeing the front reception area, ensuring compliance with state regulations as per the Minimum Standards for Child Care Centers. This position embodies our corporate values and contributes to our vision and goals.

Key Responsibilities:

  • Professionally engage with visitors and staff to create a welcoming atmosphere.
  • Collaborate with the shared reception team to maintain an organized front desk environment.
  • Provide a positive first impression through effective communication, both in person and over the phone.
  • Assist parents with necessary documentation, medication, and tuition inquiries upon arrival.
  • Answer phone calls promptly, directing inquiries to the appropriate personnel.
  • Manage academy emails efficiently, ensuring timely communication with relevant departments.
  • Keep marketing materials updated and well-stocked to reflect our professional standards.
  • Support the entire staff as directed by the Academy Director.
  • Ensure smooth operations at the front desk at all times.
  • Maintain accurate child files, adhering to Child Care Licensing Standards and internal policies.
  • Assist in orienting prospective clients and staff to our academy.
  • Handle all interactions with clients and visitors courteously, addressing concerns with care.
  • Provide regular reports to the Academy Director regarding operational needs and suggestions for improvement.
  • Perform additional duties as required to ensure compliance with licensing standards.

Qualifications:

  • A minimum of 2 years of experience in a front desk administrative role, preferably within a licensed child care environment.
  • Strong skills in customer service, child file management, and compliance with Child Care Licensing.
  • Proficiency in Microsoft Office Suite, particularly Outlook and Excel, along with experience in database management or CRM systems.
