Key Responsibilities:

  1. Project Assistance:
    • Support project leaders, construction managers, field technicians, and sales teams in executing fire alarm and security initiatives across various sectors including commercial, educational, and industrial.
    • Oversee project scope, timelines, and budgets in collaboration with electrical contractors, general contractors, property owners, and end users.
    • Monitor the status of ongoing fire alarm installations, inspections, and maintenance tasks, providing updates to management regarding project developments and potential challenges.
    • Track and assess project progress consistently.
  2. Coordination:
    • Collaborate closely with project managers, technicians, and other personnel to ensure timely and budget-compliant completion of all project elements.
    • Assist in organizing weekly operations and monthly progress meetings.
    • Facilitate project closeout processes and ensure timely completion in the system.
  3. Communication:
    • Act as a liaison between clients, contractors, and internal teams.
    • Promote effective communication to address issues and provide updates on project status.
    • Ensure client needs are met and resolve any arising concerns.
  4. Scheduling:
    • Assist in the development and management of project timelines, ensuring deadlines are met through coordination with various teams.
    • Help schedule field technicians, vendors, and subcontractors as necessary.
  5. Reporting and Documentation:
    • Maintain an organized electronic database of project documents as required.
    • Generate and distribute weekly and monthly project reports.
    • Manage change orders, ensuring proper tracking and documentation.
  6. Budget Management:
    • Oversee purchase order processes, including creation, communication, and tracking of labor and material purchases.
    • Manage the release and tracking of materials for timely delivery.
  7. Additional Duties:
    • Travel to project sites as required.
    • Perform other related tasks as assigned.

Qualifications:

  • High school diploma or equivalent; additional education or relevant certifications are advantageous.
  • 2+ years of experience in high-volume customer service, construction, or the fire alarm sector preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong verbal and written communication skills.
  • Exceptional organizational abilities and attention to detail.
  • Capability to manage multiple tasks and prioritize effectively.
  • Professional demeanor with excellent interpersonal skills.
  • Familiarity with standard office equipment and technology.
  • Reliable and adaptable, able to work independently and collaboratively.
