Job Summary

The City of Chesapeake is seeking a highly detail-oriented and proactive Senior Accounts Payable Coordinator to join our team. This role involves working closely with internal departments to ensure accurate and timely processing of accounts payable vouchers.

This position requires a strong understanding of accounting principles, excellent analytical skills, and the ability to work independently while providing exceptional customer service. The ideal candidate will be responsible for auditing transactions, resolving discrepancies, reconciling accounts, and ensuring accurate and timely processing of payables.

Main Responsibilities
  • Audit and propose corrections to City Accounts Payable (AP) vouchers (invoices) in the Oracle PeopleSoft financial system prior to payment to mitigate risk of loss, review for potential fraud, and ensure proper obligation to pay.
  • Evaluate invoice accuracy, approval compliance, coding, and 1099 identification to guarantee timely and accurate processing of all payables, maintaining the integrity of financial transactions.
  • Collaborate with Information Technology to execute system processes generating scheduled payments for invoices, refunds, and/or payroll for weekly payment runs, as well as out-of-cycle urgent requests.
  • Provide accounts payable support for assigned areas of responsibility, enter credit vouchers, prepare voids and stop payment and reissue requests for checks.
  • Collect and receipt cash into the Treasurer's system.
  • Verify, monitor, and reconcile accounts.
  • Comply with Virginia escheatment laws by completing relevant transactions.
  • Train departmental Account Specialists/Account Clerks on job aids for internal and external reference.
  • Audit and suggest solutions to ensure department travel reimbursement requests are compliant with the City's travel policy, State, and Federal regulations.
  • Determine electronic voucher workflow compliance for each department, ensuring proper routing and approvals on submitted vouchers.
  • Maintain suppliers, requiring an understanding of 1099 applicability and reporting.
  • Participate in testing upgrades and enhancements to the financial system to confirm functionality.
  • Develop a thorough understanding of the City's administrative regulations, policies, and procedures related to procurement through payment of goods and services.


Required Skills and Qualifications
Vocational/Educational Requirement: An associate's degree in accounting or a closely related field is required.

Experience: A minimum of three years of related, full-time equivalent experience is required.
