Job SummaryWe are seeking a highly organized and detail-oriented Justice Court Clerk to join our team at Gallatin County, MT. As a Justice Court Clerk, you will be responsible for performing a variety of clerical and technical duties within the justice court system.
Key Responsibilities- Front Desk Services: Provide exceptional customer service to the public, directing them to necessary forms and responding to general questions.
- Communication and Inquiries: Respond to inquiries from department personnel, court representatives, attorneys, and the public, maintaining confidentiality and resolving problematic issues.
- Document Processing: Receive and locate standardized forms to file various court and legal filings, collecting and recording fees as required.
- Mail and Document Distribution: Process mail to ensure timely delivery of correspondence and materials to appropriate staff.
- Filing and Distribution: Process or distribute filings and documents according to upcoming trial dates, legally mandated response times, and established office procedures.
- Confidential Information: Handle confidential information that has been sealed.
- Record Management: Maintain electronic and manual records management and docketing systems with new and updated case and file information.
- Background Review: Review background information to issue warnings, warrants, or default judgments as applicable.
- Financial Transactions: Receipt and disburse fines, fees, restitution, and daily balances.
- Court Preparation: Prepare all required documents and files for the judge, including paperwork for signature and recording minutes on standardized forms.
- Jury Coordination: Coordinate trial juries by contacting potential jurors, issuing notice of appearance, and tracking jurors.
- Exhibit Management: Receive, record, and maintain accessibility to all entered exhibits, their status, number, and location.
- Education and Experience: High school graduation and two to three years of related experience.
- Knowledge and Skills: Ability to multi-task, prioritize, organize, maintain legal calendars, and communicate effectively verbally and in writing.
- Physical and Mental Demands: Ability to work in a fast-paced, intense environment, maintaining composure and focus.
