Position Summary

The Patient Access Supervisor is responsible for fostering a welcoming atmosphere that facilitates efficient patient flow while managing the daily operations of the registration area at Ferry County Health. This role encompasses a variety of customer service responsibilities, including assisting patients and visitors, managing phone inquiries, scheduling appointments, processing patient check-ins, handling payments, and maintaining effective communication with the healthcare team to ensure seamless patient access. The supervisor will lead the team of Registrars and Administrative Floats.

Key Responsibilities
  • Collaborate with the Revenue Cycle Manager to implement new initiatives aimed at enhancing service delivery, operational effectiveness, and efficiency; set annual goals for clinic registration and guide departmental priorities.
  • Provide comprehensive training for new employees to ensure a consistent and efficient registration process.
  • Oversee daily operations within the clinic registration area to uphold departmental standards.
  • Inform registration staff of any relevant updates or changes affecting their roles.
  • Maintain proficiency in all tasks performed by clinic Registrars to ensure skill relevance and workflow efficiency, including covering for staff during absences.
  • Conduct annual performance evaluations for Registrar and Administrative Float personnel.
  • Work collaboratively and professionally with nursing and ancillary departments to promote a cohesive team environment.
  • Ensure sufficient staffing levels in the registration area to meet operational needs, coordinating with the Revenue Cycle Manager for scheduling and coverage during absences.
  • Address patient concerns in a timely manner, maintaining a professional demeanor when interacting with the public, patients, families, and vendors.
  • Welcome visitors at the front desk, manage payments, and respond to basic billing inquiries.
  • Perform cashier duties, including accepting payments, balancing cash drawers, and preparing deposits.
  • Respond to general inquiries regarding policies and procedures, directing messages and calls to the appropriate personnel.
  • Verify patient insurance eligibility and benefits.
  • Resolve customer account inquiries and complaints effectively.
  • Sort and manage incoming mail and packages, as well as prepare outgoing correspondence.
  • Operate the phone intercom system to direct hospital staff to various situations and emergencies.
  • Handle sensitive information with discretion to uphold the organization’s reputation in the community.
  • Review and respond to daily messages from the answering service.
  • Assist in the procurement and maintenance of office supplies.
  • Support the processing of various correspondence and notifications.
  • Maintain organized filing and record-keeping systems.
  • Perform additional duties as assigned by management.

Knowledge and QualificationsEducation and Experience
  • A High School Diploma or equivalent is required.
  • Training in a medical office setting is necessary.
  • Prior supervisory experience with two or more staff members is preferred.
Skills and Abilities

Language Skills: Ability to read, analyze, and interpret business documents, professional journals, and regulations. Proficient in writing reports and business correspondence. Capable of effectively presenting information and responding to inquiries from diverse groups.

Mathematical Skills: Competence in working with mathematical concepts such as probability and statistical inference. Ability to apply concepts like fractions, percentages, ratios, and proportions to practical scenarios.

Reasoning Ability: Ability to solve practical problems and address various concrete variables in situations with limited standardization. Capable of interpreting diverse instructions provided in written, oral, diagrammatic, or schedule formats.
