Role Overview: The Service Writer plays a pivotal role in delivering outstanding customer service and possesses a comprehensive understanding of vehicle service requirements. This position is essential in fostering strong relationships with customers and collaborating with the Service Department to fulfill customer needs. A commitment to customer satisfaction is paramount. Responsibilities include assisting customers, technicians, and internal staff with service quotes, while ensuring adherence to factory standards for claims processing.

Key Responsibilities:
  • Prepare quotes and pre-approved service tickets
  • Monitor the status of issued quotes
  • Adjust parts on service tickets as necessary
  • Document work performed on tickets
  • Manage the opening and closing of service tickets
  • Inform customers about recommended services
  • Process invoices for customer purchase orders
  • Respond to phone inquiries promptly
  • Engage with customers and service technicians on a daily basis
  • Review customer accounts and communicate updates to internal teams
  • Notify customers of any changes in service timelines and obtain necessary authorizations for additional repairs
  • Collaborate closely with the Service Manager, Shop Foreman, and Parts Department
  • Assess and determine warranty eligibility for requested services
  • Order necessary parts for the service department
  • Schedule service work as required
Qualifications:
  • Prior experience in service writing is essential
  • Demonstrated background in sales, customer relations, and dealership operations
  • Exceptional customer service abilities
  • Strong problem-solving and listening skills
  • Capability to handle conflicts with composure
  • Proficient computer skills and familiarity with industry-specific software
  • Preferred background in truck parts and service
  • Basic accounting knowledge
  • Understanding of warranty processes and factory communication is advantageous
