Position Summary: The Front Desk Clerk is responsible for delivering administrative, clerical, and secretarial support to various departments. Key responsibilities include drafting correspondence, managing phone communications, providing information to callers, and coordinating appointments. This role may also serve as the primary point of contact for specific organizational units and may involve supervising junior staff members.
Key Responsibilities:
- Reception Duties: Welcome visitors, ascertain the purpose of their visit, and guide them to their designated locations.
- Appointment Management: Utilize specialized software to schedule appointments with clients.
- Data Management: Adhere to organizational protocols for data entry and maintenance.
- Financial Transactions: Collect service fees as required.
- Clerical Support: Exercise independent judgment to perform clerical tasks, including document copying, distribution, and maintaining filing systems.
- Correspondence: Prepare and distribute meeting notes, routine correspondence, and reports using Microsoft Office.
- Mail Handling: Open, sort, and route incoming mail and emails.
- Confidentiality: Ensure the maintenance of confidential information.
- Documentation: Prepare and maintain necessary documentation for assigned areas.
- Team Collaboration: Work cooperatively with colleagues to achieve shared objectives.
Accounting Responsibilities:
- Prepare requisitions for payment approvals.
- Process deposits of accounts receivable.
- Review and submit monthly expenditure reports.
Supervisory Functions:
- Establish and communicate clear goals and responsibilities.
- Monitor and assess staff performance.
- Provide constructive feedback and coaching.
- Identify and address development needs of team members.
Required Skills and Knowledge:
- Proficient in general office procedures, including typing and filing.
- Familiarity with agency policies and procedures.
- Proficient in Microsoft Office and scheduling software.
- Strong communication skills, both verbal and written.
- Ability to prioritize tasks and meet deadlines.
Education and Experience: Candidates should possess customer service experience and a background in an office environment, with a minimum of two years of relevant experience or an associate degree.
Work Environment: This position is based in a general office setting with potential minor travel requirements.
