Quality Systems Coordinator Job Description

The Quality Systems Coordinator will play a key role in maintaining the quality document system, ensuring accuracy, and efficiency. This position is responsible for creating, revising, and deleting procedures, instructions, and forms within the OSR-One Safran Referential. Additionally, the Quality Systems Coordinator will grant appropriate roles and access to users, perform quality approvals, provide training on using and navigating OSR, and maintain and distribute technical documentation. This role will also involve ensuring the quality and accuracy of all technical materials, maintaining a database for recordkeeping, performing audits, maintaining historical archives, and communicating technical documentation changes to personnel. The Quality Systems Coordinator will work cooperatively with others, communicate professionally, and perform duties rapidly and accurately.

Key Responsibilities

• Assist with the creation, revision, and deletion of procedures, instructions, and forms within the OSR-One Safran Referential.

• Grant appropriate roles and access to users of OSR.

• Perform quality approvals of documents through OSR.

• Provide training on using and navigating OSR.

• Maintain and distribute technical documentation within Safran Helicopter Engines USA.

• Ensure the quality and accuracy of all technical materials.

• Maintain a database for recordkeeping and control of all technical manuals and documents.

• Perform audits to ensure the validity of technical documentation.

• Maintain historical archives of superseded technical documentation.

• Communicate technical documentation changes and updates to SafranHEUSA personnel.

• Train employees on using electronic and technical documentation as necessary.

• Maintain and support customer subscriptions (online, paper, or USB).

• Maintain online EngineLife Customer Portal subscriptions and process customer requests.

• Maintain a global database for customer subscriptions (new and renewals).

• Provide technical publications to external customers for our region, as requested.

• Manage supplies inventory and printing vendor to maintain customer subscriptions.

• Maintain and control records and archives (RAM-Records and Archives Management).

• Maintain records for onsite storage.

• Prepare and schedule records for off-site storage.

• Recall records from storage, as needed, to comply with records requests.

• Maintain and control Document Manager (system for electronic records).

• Provide training for Document Manager for new users as necessary.

• Comply with records requests, as required.

Requirements

• High School Diploma or GED and 3-5 years related experience and/or training.

• Experience working with a large central records/archive system, including training in typing preferred.

• Professional knowledge of professional practices, sources of information, and rules and regulations.

• Intermediate Microsoft Office: Outlook, Word, Excel, PowerPoint, Visio, Access, Project.

• Ability to keep privileged information confidential.

• Understanding and following oral and written instructions in the English language.

• Ability to remain in a sitting position for extended periods of time.

• Ability to multitask and prioritize work/tasks.

• Willingness to work cooperatively with others.

• Ability to communicate professionally with customers, clients, the public, and other employees in a face-to-face, one-on-one setting, electronically, and using a telephone.

• Ability to perform duties rapidly and accurately.
