Job Summary

We are seeking a highly skilled Tenant Services Coordinator to join our team at BGSF, Commercial Real Estate. As a key member of our property management team, you will be responsible for providing exceptional service to our tenants, ensuring their needs are met, and maintaining a positive working relationship with vendors and stakeholders.

Key Responsibilities
  • Act as the primary point of contact for tenant service requests, issues, and concerns.
  • Direct tenant service requests to the appropriate staff or contract service for resolution, including engineering, maintenance, cleaning, mechanical, and vendors.
  • Issue and obtain approvals for tenant work order requests, ensuring timely and efficient resolution.
  • Provide on-site support for tenant relations, maintaining good working relationships with tenants and vendors.
  • Coordinate tenant move-ins and move-outs, assisting with the coordination of tenant events and orienting new tenants on building policies and procedures.
  • Prepare vendor service contracts, lease abstracts, and obtain vendor bids for special work and/or services.
  • Assist property management with day-to-day operations, ensuring compliance with policies, procedures, management agreements, and client needs.
  • Obtain and file tenant and vendor insurance certificates, maintain tenant contact lists, emergency contact lists, and building pass lists.
  • Assist with billing, rent collection, and other tenant charges in compliance with lease agreements.
  • Process invoices, data entry into YARDI accounting system, prepare sundry billings, and request W-9 forms from new vendors.
  • Coordinate with all parties for rent roll-up and reconciliation, compiling monthly reports to owners.
  • Perform general administrative tasks, including filing, answering phones, distributing mail, and written correspondence.
Requirements
  • 1+ years of experience as a Tenant Services Coordinator or similar role.
  • Previous commercial property management experience.
