Position Overview:
The primary role of the Team Supervisor is to execute the responsibilities of a Client Service Coordinator (CSC) and/or veterinary assistant/technician, while also ensuring operational continuity and support across all shifts. This position guarantees that the hospital consistently has leadership present to assist both associates and clients. The Team Supervisor will coordinate and guide the paraprofessional staff, collaborating with hospital leadership to enhance productivity and profitability.
Core Responsibilities (approximately 80% of time):
? Embody and promote the Five Principles of Mars, Inc. within the team.
? Fulfill the duties of a CSC and/or veterinary assistant/technician, which may involve:
- Actively attracting new clients by showcasing hospital services.
- Managing the flow of clients and pets to ensure outstanding client care and optimal productivity of the veterinary medical team.
- Maximizing the number of pets attended to by the hospital team through efficient operations that support the needs of wellness plan clients.
? Deliver professional, efficient, and exceptional service consistently. This includes:
- Encouraging hospital visits and ensuring clients and pets feel comfortable.
- Educating clients about their pets' health and performing preparatory tasks that do not require veterinarian or veterinary technician assistance.
- Monitoring hospitalized or surgical pets as permitted by state regulations.
? Inform clients about Optimum Wellness Plans, preventive care, and hospital services.
? Assist incoming clients by completing necessary documentation and entering pet information accurately.
? Support outgoing clients by providing instructions, invoices, and scheduling future appointments.
? Oversee financial transactions by maintaining accurate records and following proper procedures.
? Act as an additional resource for veterinarians and veterinary technicians to ensure high-quality pet care and effective communication among associates.
? Gather relevant information from clients and maintain comprehensive medical records.
? Ensure the safety of pets, clients, and associates by adhering to safe practices and maintaining organized treatment areas.
Leadership Responsibilities (approximately 20% of time):
? Assist the Practice Manager in cultivating an efficient and productive hospital team that delivers top-quality care and service.
? Support the Practice Manager in managing hospital labor, including adjusting staff schedules as needed.
? Participate in the selection, training, and supervision of the paraprofessional team to ensure quality medical care and exceptional client service.
? Model professional and efficient client service, ensuring all associates follow suit.
? Help create an environment conducive to delivering effective veterinary care.
? Foster a culture that engages associates and encourages high performance.
? Facilitate effective communication among associates, clients, and hospital leadership.
? Ensure compliance with dress and grooming standards for all hospital associates.
? Prepare hospitalized pets and ensure readiness of equipment for surgical procedures.
? Assign cases to veterinary assistants and clarify their responsibilities for the day.
? Assist in identifying operational bottlenecks and developing solutions to enhance medical operations.
? Collaborate with field leadership to resolve client issues and manage invoice adjustments.
? Train and mentor new paraprofessional associates.
? Conduct quality checks on medical records and ensure timely patient care.
? Address equipment issues and assist with inventory management.
? Perform other duties as assigned.
