This position involves providing top-notch administrative support to senior leaders, overseeing office operations, and ensuring a seamless workflow. Main Responsibilities:
  • Leadership Support:
    • Offer administrative assistance to senior leaders, including calendar management, travel coordination, and expense reporting.
    • Prepare reports, presentations, and documents as needed.
    • Handle confidential information with discretion and professionalism.
    • Coordinate projects and initiatives assigned by senior management.
  • Operational Oversight:
    • Supervise day-to-day office activities, maintaining a well-organized workspace.
    • Manage office supplies, procurements, and vendor relationships.
    • Ensure the upkeep of office facilities, including maintenance, repairs, and safety protocols.
    • Arrange meetings, conference calls, and events for upper management and teams.
    • Serve as the primary point of contact for internal and external communications regarding office matters.
  • Technical Assistance:
    • Provide assistance with basic IT issues and coordinate IT services for OCT.
    • Contact external IT vendors for service requests and issue resolutions.
    • Help onboard new employees with IT-related tasks (e.g., email setup, access to shared drives).
    • Maintain office technology systems, including video conferencing setups, network connectivity, and cloud-based solutions.
  • Event Coordination:
    • Plan in-office and virtual events, such as team meetings, training sessions, parties, and team-building events.

Requirements:

  • U.S. citizenship required.
  • 2-4 years of experience in office management or an administrative role in a professional setting.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Experience using Google Drive and other Google Workspace tools for collaboration, document management, and communication.
  • Desirable: Experience working with senior leadership and C-Suite executives, basic IT skills, and proficiency in troubleshooting hardware and software.
  • Excellent organizational and multitasking abilities, with attention to detail.
  • Superior communication skills, both written and verbal.
  • Able to prioritize tasks, work independently, and manage time effectively.
  • A proactive attitude and problem-solving approach.
  • Associate or bachelor's degree in business administration, office management, or a related field preferred.
  • Frequent commuting to Tysons Corner/McLean VA required (expected 3 days a week).
