POSITION SUMMARY
Under the supervision of the Process Improvement Manager, the Access Enhancement Specialist is responsible for the evaluation and analysis of information pertinent to Access Optimization. This role involves the management and auditing of provider templates, schedules, scheduling guidelines, message handling, and the TNAA Dashboard. The specialist will actively engage in process improvement initiatives by contributing innovative ideas and solutions.

Collaborates with clinic managers and staff across the organization to ensure optimal patient access, effective provider schedule utilization, and accurate message routing.

Provides training for new Managers, Supervisors, and Lead CSC on Access Optimization initiatives.

Responsibilities:


Accountable for the auditing and maintenance of provider templates and schedules to ensure alignment with clinic expectations, minimize scheduling errors, and enhance access for both patients and staff satisfaction.

Submits requests to relevant teams and upholds data integrity essential for precise scheduling and efficient operations.


Ensures the accuracy and ongoing maintenance of scheduling instructions and message routing to guarantee timely responses to patients.


Acts as a liaison between clinic managers and relevant teams to ensure accurate communication regarding requested changes or provider build requests.


Facilitates standardized communication between the Contact Center and clinic staff concerning scheduling modifications and new guidelines.


Submits requests for new provider schedule builds and terminations to support scheduling accuracy and data integrity.


Collaborates with relevant teams to ensure providers are assigned the correct visit types for their practice, ensuring reports and dashboards reflect accurate data.


Provides new provider configuration information to the Analyst for appointment reminders, ensuring patients receive timely notifications.

Trains new Managers, Supervisors, and Lead CSCs on the process for submitting New Provider Requests and updating scheduling instructions, including Open Template Methodology.

Responsible for the cleanup of provider and visit type systems.

Oversees the provider offboarding process.

Implements automated communication forms for provider changes to enhance communication and accessibility.

Qualifications:

Education & Experience:
Associate degree in a related field or equivalent experience; a Bachelor's degree is preferred.

Minimum of 2 years of experience in a healthcare clinic environment.

Knowledge, Skills & Abilities:
Proficient in the use of relevant healthcare management systems, Microsoft Office Suite (including Visio, Word, Excel, Outlook, and PowerPoint).

Demonstrates decision-making abilities that reflect sound judgment and a comprehensive understanding of the broader context.

Ability to engage cross-functional teams towards achieving desired outcomes.

Exemplary written and verbal communication skills.
