Job Summary

The Salvation Army is seeking a highly organized and detail-oriented Administrative Assistant to provide administrative support to the Corps. This is a dynamic and fast-paced environment that requires excellent communication and interpersonal skills.

Key Responsibilities

  • Provide administrative support to the Corps, including typing, filing, handling mail, managing appointments, and other related duties.
  • Warmly greet and assist guests and callers, providing referrals as needed.
  • Check and update the answering machine message as necessary.
  • Greet all visitors to The Salvation Army and direct them to the appropriate individual for assistance.
  • Maintain a positive image of The Salvation Army and generate positive public relations with clients and donors.
  • Open and distribute incoming mail to the appropriate staff members.
  • Distribute internal corps mail to the appropriate staff members and local officers.
  • Stock and maintain corps literature racks in a neat and orderly condition.
  • Receive deliveries and route them to the appropriate staff member.
  • Assist Social Service clients in completing their initial intake forms and scheduling appointments.
  • Operate the copier and assist in copying invoice vouchers for payment.
  • Assist in maintaining accurate corps statistical records, including distributing and collecting weekly attendance reports.
  • Prepare and print a weekly worship service bulletin and prayer list.
  • Attend monthly Corps Council and Advisory Council meetings, take minutes, and submit them to Divisional Headquarters and Corps/Advisory Council members.
  • Keep lists of hospitalized corps members, special prayer requests, deaths, births, and other important events.
  • Assist with serving the regular food pantry and maintain and organize the food pantry.

Requirements

  • High School diploma or GED equivalent preferred.
  • 2 years of experience in an administrative assistant or secretarial position.
  • Experience with a computer-based work environment and an excellent working knowledge of Microsoft Office 365.
  • Bilingual English/Spanish required.

  • Excellent communication (verbal and written) and interpersonal skills, using diplomacy and good judgment.
  • Demonstrated ability to use initiative and be a self-starter.
  • Demonstrated ability to multitask.
  • A positive attitude and the ability to be flexible considering changing job situations/priorities.
  • Supportive of the mission of The Salvation Army.
  • An ability to work with confidential material.

Physical Demands/Work Environment

  • This position is required to do light physical work and must be able to lift 25 pounds.
  • In order to successfully perform the essential functions of this position, the employee is regularly required to sit for lengthy periods of time; use hands to finger, handle, or feel; and talk or hear.
  • The employee is infrequently required to walk, stoop, kneel or crouch; but frequently required to reach with and use arms and hands, as required in using standard office equipment and a PC.
  • Specific vision abilities required by this job include close vision, distance vision, and ability to focus.
  • The work environment for this position includes an office environment with a low noise level.
