Key Responsibilities:


Facilitate departmental growth by coordinating and supporting initiatives aimed at expanding clinical offerings and procedures through the establishment and maintenance of relationships with various stakeholders, including administration, physicians, patients, and external organizations.

Collaborate closely with patients, physicians, and staff to ensure accurate, timely, and responsive scheduling. Provide administrative assistance and resolve routine and complex customer inquiries, directing them to the appropriate resources. Engage with patients, their families, referring physicians, and third-party payers regarding patient-related matters. Utilize independent judgment to plan, prioritize, and manage a diverse workload.

Maintain regular communication with clinical staff, medical secretaries, and personnel within the service line to ensure that customer and departmental needs are met.


Contribute to the development, implementation, and assessment of short- and long-term goals, objectives, strategies, policies, procedures, and guidelines by staying informed about emerging products and trends in aesthetics.

Serve as the primary contact for the clinic, referring patients from colleagues and within the department.

Assist in educating staff about aesthetic options and train new personnel on current offerings in the aesthetic clinic.

Participate in the growth of the aesthetics program as directed by leadership.

Act as the main point of contact for cosmetic and aesthetic patients seeking services, including but not limited to:
botox, fillers, coolsculpting, and laser treatments. Address inquiries and discuss options with patients to ensure appropriate scheduling. Manage the cosmetic phone line to assist patients.


Maintain a liaison relationship with all levels of administration, physicians, patients, and external organizations to coordinate clinic operations, fulfill directives, and resolve issues.

Support the aesthetic surgeon and departmental practitioners.

Schedule and coordinate appointments, surgical cases, and in-office procedures.

Assist patients with necessary paperwork, pre-operative information, and post-operative instructions.

Provide surgical estimates.

Collect payments for surgical cases and in-clinic procedures.


Support clinic operations by gathering monthly, quarterly, and annual reporting data and reporting on aesthetics operations and productivity metrics.

Ensure confidentiality of sensitive information.

Travel to satellite locations and clinic sites may be required to fulfill job responsibilities.

Demonstrate proficiency in job-related software and systems.


Exhibit attendance, punctuality, professionalism, attention to detail, cooperation with colleagues and supervisors, and courtesy towards customers, vendors, and patients.

Other duties or special projects may be assigned.

Qualifications:


High School diploma; two or more years of experience in a healthcare setting; or an equivalent combination of education and experience. Strong interpersonal, verbal, and written communication skills are essential.

Must possess a high level of interpersonal skills to manage sensitive and confidential situations. The position requires demonstrated poise, tact, and diplomacy.

Proficiency in various computer software applications, including word processing, spreadsheets, databases, and presentation software (MSWord, Excel, Access, PowerPoint).

Attention to detail is crucial in composing, typing, and proofreading materials, as well as establishing priorities and meeting deadlines.

Compensation:
USD $27.50 /Hr.
