Job DescriptionPosition Overview: The Receptionist Specialist is responsible for ensuring the accuracy of front office financial records and compiling daily summaries for the establishment's financial documentation. This role involves monitoring room revenue, occupancy rates, and other essential front office metrics. Additionally, the Receptionist Specialist prepares a comprehensive report of cash, check, and credit card transactions, reflecting the establishment's daily financial performance. This position also entails posting room charges and taxes to guest accounts, including any transactions not recorded during the day.Key Responsibilities:
  • Post room charges and applicable taxes to guest accounts.
  • Process guest charge vouchers and credit card transactions.
  • Ensure all charges incurred during the night audit shift are accurately posted.
  • Verify the accuracy of all account postings and balances.
  • Confirm that room rates are correct and post them to guest accounts.
  • Assist guests with check-in and check-out procedures.
  • Compile a summary of cash, check, and credit card activities.
  • Summarize operational results for management review.
  • Review figures, postings, and documents for accuracy, and manage computerized financial information.
  • Maintain knowledge of emergency procedures.
  • Balance daily charges and make necessary corrections.
  • Execute end-of-day processes in property management software.
  • Understand auditing principles and account balancing.
  • Address guest needs, special requests, and complaints, escalating to management as necessary.
  • Perform additional duties as assigned.
Qualifications:
  • Education sufficient to read product labels and communicate effectively with guests.
  • Basic proficiency in reading, writing, and speaking English is preferred.
  • Prior experience in hospitality is advantageous.
Skills and Abilities:
  • Detail-oriented with a focus on thoroughness.
  • Ability to maintain discretion and respect guest privacy.
  • Consistent performance to high standards.
  • Friendly and pleasant interaction with guests.
  • Understanding of hospitality operations.

  • Proficient in accurate mathematical calculations.
Physical Requirements:
  • Ability to stand, walk, and bend for extended periods.
  • Frequent use of a keyboard.
Work Environment:
  • Indoor setting.
  • Shifts typically range from early morning to late evening.
