Payroll Specialist

The Payroll Analyst will be responsible for the timely and accurate processing of multiple payrolls for the college. This includes overseeing the calculation of employee compensation, updating internal payroll databases, and maintaining payroll work calendars. The incumbent will also be responsible for completing quarterly and yearly multi-state tax reports and acting as a liaison to internal departments to provide guidance and resolve issues.
Key Responsibilities- Manage and supervise the daily operations of the payroll department.
- Monitor and maintain compliance with federal and state payroll laws, as well as the college's policies, procedures, and best practices.
- Run, prepare, and balance payroll reports for on-cycle (bi-weekly) and off-cycle payrolls.
- Ensure accurate accounting and reporting on all payroll transactions, including transmittal of bi-weekly EFTPS files to the IRS, state tax payments to Virginia, Maryland, and the District of Columbia, pension withholdings to the Maryland State Retirement Pension System, garnishments, child support, tax levies, journal entries, and cash position reports.
- Reconcile and complete quarterly and annual federal and state tax reporting, including Forms 941 and W-2.
- Collaborate with management, ET, and system support staff to test and implement new or updated systems.
- Participate in audits by providing reports, records, and documentation to auditors.
- Participate in new hire onboarding and collegewide training of payroll and payroll time and attendance systems.
- Supervise and evaluate payroll specialists, including assisting with workload when necessary.
- Ensure that payroll accounting entries are generated and reconciled, and resolve payroll-related tax issues.
- Provide customer service to employees with payroll-related questions, including tax, direct deposit, and garnishment.
- Bachelor's degree in Accounting, Business Administration, or a related field.
- Three years of full-time or equated experience in the professional area.
- Experience working with a complex financial management system.
- Ability to communicate effectively in spoken and written standard English.
- Ability to work effectively with diverse academic, cultural, and ethnic backgrounds.
The incumbent will be required to use sensory skills to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact. The physical capability to effectively use and operate various items of office-related equipment, such as a personal computer, calculator, copier, and fax machine, is also required.
