The Operations Manager is responsible for leading the property management team in their respective market. This role oversees the technical, operational, and financial management of the portfolio, while also leading, coaching, training, and developing the property operations teams in each market.
Key Responsibilities- Establish oneself as a leader among the operations team, not through title, but by effectively leading by example.
- Manage and influence results in a collaborative manner, coaching and guiding teams to achieve results rather than directing and supervising.
- Create open communications with and among the property operations teams to foster mutual trust and respect.
- Ensure regional compliance with all related policies and procedures as outlined in the Operations Manual, The FR Way.
- Review and approve property invoices, IT requests, all service contracts, income credits, and write-offs, expense reports, and time sheets.
- Prepare property budgets, including the annual preparation and ongoing maintenance of the forecasting tool.
- Ensure the efficient operation of the Maintenance Company, including budget preparation, daily management, implementation of cost-saving initiatives, and monthly variance reporting.
- Implement and coordinate weekly, bi-weekly, and monthly team meetings and conference calls.
- Recommend all aspects of human relations within the property management team, including hiring, training, terminations, discipline, and all associated HR matters.
- Conduct annual reviews for all direct reports and provide input on other employees in the regional office as requested.
- Ensure effective management of the portfolio of assets to achieve established financial performance, planning and implementing annual budgets, tracking revenue and expenses, preparing reports, developing action plans, and communicating with management.
- Establish and maintain cooperative relationships to ensure tenant retention, answering tenant requests for information, coordinating repair and maintenance requests, and helping tenants identify future space requirements.
- Ensure assigned assets are maintained in good order and condition by planning, coordinating, and monitoring maintenance, repairs, capital improvements, and renovations, controlling expenditures to ensure cost-effective use of resources and maintenance of the facility.
- Collect rent, CAM, taxes, and other tenant billings, contacting tenants for resolution while documenting efforts and seeking legal counsel when necessary.
- Manage all accounts payable and receivable processing, reviewing rents, taxes, other billings, and construction costs to ensure accurate billing.
- Manage new construction projects as assigned, inspecting construction phases, auditing incurred costs against progress, and monitoring the work of contractors through completion and documenting close-out.
- Manage the bidding and contract processes for tenant and capital improvements.
- Review accounting and financial analyses, including monthly reporting, projections, annual budgets, and special projects, reviewing financial and operations data and property income statements to identify budget variances and periodically submitting and/or presenting to management.

Knowledge, Skills, and Abilities
- Knowledge of accounting, business, and marketing at a skill level comparable to the completion of a Bachelor's degree in Business Administration or similar degree.
- At least four to five years' experience in a directly related job with similar job requirements.
- Good interpersonal and telephone communication skills.
- Good written communication skills, including the ability to prepare appropriate and accurate documentation related to all reporting requirements.
- Computer skills necessary for basic functionality using software such as Microsoft Word, Excel, and basic email systems.
