POSITION OVERVIEW:

The Client Finance Senior Analyst serves as the primary liaison for all financial and operational inquiries. This role requires regular collaboration with Account Management and Integrated Production teams, as well as the agency's shared service center. A thorough understanding of client contracts related to compensation, billing, compliance, financial reporting, reconciliation, and other obligations is essential. The individual will also engage in higher-level responsibilities, including participation in client discussions and revenue analysis.

KEY RESPONSIBILITIES:

Project Management:

Oversee the status of each project, ensuring timely and accurate entry of estimates while collaborating with intercompany partners on job estimates.

Billing Coordination:

Facilitate monthly billing processes with the shared service center to guarantee deadlines are met.

Financial Oversight:

Lead financial tracker meetings with designated business units to discuss the financial health of each client.

Administrative Support:

Handle various administrative tasks, coordinating with agency teams and intercompany partners on special requests.

ADDITIONAL DUTIES:

  • Manage and evaluate requests for all billable and non-billable jobs, ensuring proper opening, closing, and locking procedures.
  • Ensure swift execution of job status changes as requested by Account Management/Integrated Production, updating reports accordingly.
  • Communicate job numbers to team members to facilitate accurate timesheet entries.
  • Work closely with agency teams, including Account Management and Client Finance Managers, to ensure timely and accurate estimates.
  • Collaborate with intercompany partners to ensure estimates are properly entered and approved for effective tracking and billing.
  • Verify billing accuracy, including amounts and client contract compliance.
  • Monitor and provide monthly commentary on the Work In Progress (WIP) report.
  • Ensure timely billing of out-of-pocket expenses.
  • Prepare and analyze financial trackers weekly to ensure accuracy in estimates, actuals, variances, and billing information.
  • Proactively address any concerns with the Client Finance Manager before escalating to Account Management and Integrated Production teams.
  • Organize meetings to review financial status and actively participate in discussions.
  • Present financial information clearly during tracker meetings, demonstrating a solid understanding of reports.
  • Document job statuses and overall project financial health during meetings.
  • Assist with recap communications to align on updates discussed in meetings.
  • Identify and communicate any projects that are exceeding budget benchmarks to the Client Finance Manager.
  • Collaborate with the Client Finance Manager to develop solutions for financial challenges.
  • Perform data entry tasks related to job status, time reports, and estimates.
  • Support ad hoc requests for assigned accounts, reviewing with the Client Finance Manager prior to client submission.
  • Work collaboratively with other Client Finance Analysts to resolve issues as they arise.
  • Demonstrate proficiency in the Vantage system and utilize various reports effectively.
  • Coordinate with the Accounts Receivable team to ensure timely client payments in accordance with Master Service Agreement terms.
  • Follow up on client purchase orders and budget approvals, notifying the Client Finance Manager of any outstanding documentation.
  • Exhibit the ability to work collaboratively across departments while managing multiple deadlines.

EDUCATION REQUIREMENTS:

  • Bachelor's Degree in Accounting and/or Finance (Preferred)

EXPERIENCE:

  • Minimum of 1 year of relevant work experience (Required)

SKILLS AND COMPETENCIES:

  • Microsoft Excel: Proficient in advanced functions, including VLOOKUP, pivot tables, and data visualization.
  • Microsoft PowerPoint: Basic knowledge of presentation software.
  • SAP/Business Software: Familiarity with SAP and/or business systems is preferred; knowledge of Vantage is a plus.
  • Communication Skills: Strong verbal and written communication abilities.
  • Organizational Skills: Excellent organizational capabilities.
  • Teamwork Skills: Ability to work effectively within a team environment.
  • Analytical Skills: Strong analytical thinking and problem-solving skills.

SALARY RANGE:

  • $58,500 to $67,300 annually

The salary range for this position is provided for informational purposes. Actual compensation will depend on various factors, including market conditions, budgetary considerations, and the candidate's qualifications.
