Penn Medicine is committed to delivering exceptional patient care and experiences. As an Ambassador Ambulatory Concierge, you will play a vital role in ensuring our patients receive a warm and welcoming experience from the moment they arrive.
Key Responsibilities:- Provide a personalized welcome to every patient, family member, or visitor, adhering to our established scripting guidelines.
- Anticipate and respond to patient, visitor, and hospital staff concerns, expectations, or needs in a timely and courteous manner.
- Assist immobile patients with safe and courteous transportation, ensuring their comfort and well-being.
- Manage visitor flow at entrances to ensure patients arrive on time for appointments.
- Collaborate with patients, visitors, and hospital staff to deliver a seamless and coordinated service, including patient transportation.
- Work in a safe environment, prioritizing patient safety and preventing falls or accidents.
- Provide additional services such as arranging transportation, coordinating with vendors, and assisting patients with hotel, restaurant, and public transportation services.
- Ensure all outside vendors check in with Security, maintaining a secure and controlled environment.
- Manage phone calls, patient requests, and voicemails in a timely and efficient manner, routing them appropriately through our electronic medical record system.
- Schedule patient appointments, determining the reason for visit, following established schedules and protocols, and communicating changes and confirmations.
- Responsible for arriving and departing activities of patients at the practice, performing point-of-service activities, and collecting copays and recording accurately.
- Communicate with patients regarding patient flow and wait times, keeping managers informed of potential issues.
- Issue referrals and obtain pre-authorizations for patients as required and according to protocol.
- Maintain up-to-date knowledge of insurance requirements and billing procedures, including basic knowledge of managed care plans and copayment or referral requirements.
- Record receipts accurately, participate in cash reconciliation, and resolve work queues and issues from front-end reports.
- Order supplies for the office and generate front-end process reports as requested.
- Ensure compliance with all applicable federal, state, and local regulatory standards, including TJC, DOH, FDA, HIPAA, HCFA, DPW, LCGME, and SCGME.
- Perform duties in accordance with Penn Medicine and entity values, policies, and procedures.
- Other duties as assigned to support the unit, department, entity, and health system organization.
- H.S. Diploma/GED (Required)
- Associate's Degree (Preferred)
- Must successfully complete/pass EPIC scheduling training/tests (Required)
