Job Overview:
Lou Fusz Kia of Terre Haute is seeking a knowledgeable and detail-oriented Warranty Administrator & Service BDC Contact to support our service department. The ideal candidate will have experience in automotive service, strong organizational skills, and a deep understanding of warranty processes. In this dual role, you will be responsible for administering warranty claims and communicating with customers regarding their service appointments and inquiries.
Key Responsibilities:
- Review and process warranty claims in a timely and accurate manner, ensuring compliance with manufacturer guidelines and dealership policies
- Communicate with manufacturers to verify claim approvals, ensure proper documentation, and resolve any issues or discrepancies
- Track warranty claims from submission through to payment, maintaining accurate records and files
- Work with the service department to ensure all necessary documentation and repair orders are completed correctly for warranty claims
- Monitor claim statuses and communicate any delays or issues to the service team and management
- Stay updated on manufacturer warranties, recalls, and service bulletins to ensure proper processing
Service BDC Contact Responsibilities:
- Answer incoming service department phone calls, emails, and inquiries, scheduling appointments and addressing customer questions in a professional manner
- Proactively contact customers for service reminders, follow-ups, and appointment confirmations
- Work closely with Service Advisors and Technicians to ensure smooth communication between the service team and customers
- Manage the scheduling of service appointments to optimize shop capacity and efficiency
- Handle customer feedback, addressing concerns, and escalating issues to management when necessary
- Provide customers with repair updates and information on the status of their vehicles
Qualifications:
- Prior experience as a Warranty Administrator, Service Advisor, or in a similar automotive service role is preferred
- Strong knowledge of automotive warranty processes and service department operations
- Excellent communication skills, both written and verbal, with the ability to engage professionally with customers and team members
- Highly organized with strong attention to detail and the ability to manage multiple tasks and deadlines
- Familiarity with dealership management software (e.g., CDK, Reynolds & Reynolds, or other service scheduling systems) is a plus
- Ability to work effectively in a fast-paced environment while maintaining accuracy and efficiency
- Customer-focused mindset with a commitment to providing exceptional service
- Valid driver's license
