Oversee and synchronize the Procurement Division to align with the strategic goals of Hogan.

Key Responsibilities

  • Generate purchase orders and distribute copies to suppliers and departments initiating requests.
  • Address inquiries from customers and vendors regarding order status, modifications, or cancellations.
  • Engage with suppliers to arrange or expedite deliveries and resolve issues related to shortages, delays, or other complications.
  • Examine requisition orders for accuracy, terminology, and specifications in collaboration with the sales team.
  • Compile, maintain, and review purchasing documentation, reports, and pricing lists.
  • Evaluate prices, specifications, and delivery timelines to identify the most advantageous bid from potential suppliers.
  • Monitor the progress of requisitions, rebates, and orders.
  • Calculate order costs and allocate invoices to the appropriate accounts.
  • Verify the accuracy of suppliers' invoices against bids and purchase orders.
  • Authorize payments for invoices.
  • Stay informed about all relevant state/local and governmental regulations affecting purchases and provide guidance to staff and vendors.
  • Assess vendor performance regularly.
  • Review customer-signed specifications from the sales team and collaborate with manufacturers to secure pricing for evaluation.
  • Issue purchase orders for equipment requisitions and update ledgers to ensure accurate tracking. Provide updates to sales and maintenance teams regarding equipment arrival dates weekly.
  • Maintain continuous communication with vendors to manage equipment orders, ensuring minimal production downtime and prompt delivery from requisition to end-user.
  • Act as a liaison with licensing and fleet compliance supervisors to ensure timely arrival of licensing credentials with delivered equipment.
  • Oversee accounts receivable for ordered equipment and collaborate closely with financing and LKE teams to ensure timely and efficient funding.
  • Coordinate with insurance personnel to report accurate vehicle equipment values.
  • Generate and maintain VCNs with billing and asset departments to ensure correct billing start dates and domiciled locations.
  • Work with vendors and NationaLease to file for applicable rebates after vehicle payment and delivery to the end-user.
  • Submit service dates for ordered equipment to manufacturers to confirm warranty start dates and communicate with warranty departments regarding any special warranty conditions.

Qualifications

  • High school diploma or GED required; Bachelor's degree preferred.
  • Understanding of class 3-8 truck and trailer equipment is essential.
  • Proficient in Microsoft Office Suite, including Word and Excel.
  • Strong organizational abilities with meticulous attention to detail.
  • Exceptional verbal and written communication skills.
