Job Description

**Job Summary:**

Cold Springs RV is seeking a highly organized and detail-oriented Special Orders Coordinator to join our team. As a Special Orders Coordinator, you will be responsible for processing and coordinating special orders for RV parts, ensuring timely and accurate delivery to our customers.

Key Responsibilities:

  • Determine Customer Needs: Work closely with customers to determine their special order needs and accurately specify parts accordingly.
  • Create and Modify Purchase Orders: Create and modify purchase orders to ensure accurate and timely delivery of special ordered parts.
  • Issue Purchase Orders: Issue purchase orders to vendors to order parts, ensuring that all necessary information is included.
  • Record Warranty Parts Returned: Record warranty parts returned to the dealership, ensuring that all necessary documentation is completed.
  • Create Special Ordered Parts: Create special ordered parts on the dealership computer system and notify the ASM, technician, or client upon receipt.
  • Review Special Order Parts Tracking: Review special order parts tracking to ensure that all orders are accurate and up-to-date.
  • Process and Close Open Invoices: Process and close open invoices, ensuring that all necessary documentation is completed.
  • Compare Invoices Against Requisitions: Compare invoices against requisitions to verify the quality and quantity of merchandise received.
  • Keep Records of Outside Purchases: Keep records of outside purchases and parts received and issued, ensuring that all necessary documentation is completed.
  • Perform Ongoing Warehouse Parts Inventory: Perform ongoing warehouse parts inventory to ensure that all parts are accurately stocked and accounted for.
  • Attend Weekly Department Meetings: Attend weekly department meetings to stay informed of any changes or updates to special orders procedures.

Requirements:

  • High School Diploma or Equivalent: High school diploma or equivalent required.
  • Dealership Experience: One year of dealership experience and/or training required.
  • Computer Skills: Above-average computer skills required, including proficiency in CDK Lightspeed and Microsoft Office applications.
  • Organizational Skills: Excellent organizational skills required, including the ability to track orders using multiple computer-based programs.
  • Communication Skills: Excellent communication skills required, including the ability to work effectively with customers and vendors.

Compensation:

Starting salary $18.00/hour to $21.00/hour, with evaluation at 90 days and monthly bonus based on sales performance.
