**About the Role**

We are seeking a highly skilled and organized Administrative Assistant to join our team at SERVPRO of Port Jefferson. As a valued member of our staff, you will play a critical role in supporting our business operations and providing exceptional customer service to our clients.

Key Responsibilities:

  • Complete internal job file quality reviews and ensure accuracy and completeness.
  • Prepare estimates and billing invoices, ensuring timely and accurate submission.
  • Coordinate crew and job scheduling, ensuring efficient use of resources.
  • Perform basic accounting functions, including accounts payable, accounts receivable, bookkeeping, and payroll.
  • Assist in employment recruiting activities, helping to identify and attract top talent.
  • Provide office administrative support, including preparing correspondence and managing email.
  • Perform detailed and accurate data entry, ensuring data integrity and security.
  • Assist other departments as needed, providing support and contributing to team success.

Requirements:

  • 2+ years of administrative or office-related experience, with a strong background in billing, quality assurance, and scheduling.
  • Experience in the service industry environment, with a focus on customer service and team collaboration.
  • Possess excellent organizational skills, strong attention to detail, and the ability to work in a fast-paced, team-oriented office environment.
  • Proficient in Microsoft Office, including Outlook, Word, and Excel, with the ability to learn new software and systems.
  • Minimum of HSD/GED, with a strong educational background and a commitment to ongoing learning and development.
  • Able to successfully complete a background check, subject to applicable law.

Working Conditions:

  • 40 hours/week, with flexibility to work overtime when required.
  • Varying shifts, including mornings, afternoons, and evenings, with a focus on providing excellent customer service and supporting business operations.
