Role Summary:
As an Operations Coordinator, you will play a crucial role in providing logistics and supply chain support for our product lines. This includes managing transportation logistics for both domestic and international clients, executing production schedules, and coordinating with contract manufacturers and co-packers. We are looking for motivated individuals who are passionate about contributing to a collaborative team atmosphere.

Key Responsibilities:

  • Assist in preparing and overseeing contracts alongside the sales team; coordinate the creation and execution of contract management plans while ensuring ongoing oversight of contract performance and addressing issues as they arise.
  • Ensure timely and precise management of accounts and orders for various clients through direct communication with customers, vendors, and the sales team.
  • Establish strong customer relationships while aiding sales personnel in identifying client needs and resolving issues, proactively seeking to understand customer requirements and delivering exceptional service.
  • Track and manage all pending orders, including data entry, troubleshooting, and communication regarding scheduling, cancellations, and inactive orders.
  • Address customer complaints, offering suitable solutions and alternatives within designated timeframes; follow up to guarantee optimal resolution.
  • Review contracts and orders for accuracy and completeness, obtaining necessary information and approvals prior to order shipment.
  • Collaborate with Sales on contract releases and generate shipment releases and labeling for suppliers.
  • Communicate effectively with overseas suppliers and the Shared Services Team.
  • Review and approve sailing schedules, draft labels, commercial invoices, and coordinate bookings.
  • Maintain organized documentation and compliance with customer and regulatory requirements.
  • Ensure meticulous record-keeping for auditing and reporting purposes.
  • Assist in invoicing and billing processes, tracking and following up on invoices as necessary.
  • Support Accounts Receivable in managing invoice discrepancies and claims, communicating issues and resolutions promptly.
  • Oversee returns, damage claims, and complaints, ensuring communication of causes and resolutions to relevant business partners.
  • Engage in team initiatives aimed at continuous improvement.
  • Participate in special projects as assigned by management.

Qualifications:

  • Deliver quality service to internal and external customers while upholding company values.
  • Strong oral and written communication skills with a focus on follow-up and organization.
  • Proficiency in Microsoft Office and Outlook.
  • Familiarity with ERP systems is preferred.
  • Understanding of domestic transportation terms and procedures, including freight terms and documentation.
  • Knowledge of international transportation terms and procedures, including INCOTERMS and customs clearance.
  • Experience in production planning and execution, including scheduling and material assignment.
