Job Summary

We are seeking a highly skilled and detail-oriented Records Specialist to join our team at the City of Loveland. As a Records Specialist, you will be responsible for maintaining accurate and up-to-date records of police department activities, including arrest and booking paperwork, incident reports, and other related documents.

Key Responsibilities
  • Transcribe, process, and validate officer-generated reports, including arrest and booking paperwork, incident reports, and other related documents.
  • Enter data into the Records Management System (RMS) and ensure accuracy and completeness of records.
  • Review and edit reports for quality control, ensuring accuracy and compliance with departmental policies and procedures.
  • Provide customer service to the public, responding to inquiries and requests for information.
  • Assist with the training of new officers and Records Specialists, providing guidance and support as needed.
  • Perform other related duties as required, including data entry, filing, and record-keeping.
Requirements
  • Three years of extensive office and public contact experience in a high-volume and high-stress setting, preferably in a law enforcement-related field.
  • Ability to acquire working knowledge of the Colorado Revised Statutes, City Ordinances, and Model Traffic Codes.
  • Excellent customer service skills, with the ability to communicate effectively in both written and oral form.
  • Ability to handle confidential information discreetly and according to applicable laws and department directives.
  • Strong English language, grammar, and math skills, with the ability to prioritize and meet deadlines.
Working Environment

The Records Specialist will work in a normal office environment, which may have moderate to intense levels of noise and interruption. The position requires the ability to hear to transcribe reports, correspondence, and interviews, and to complete handwritten reports and forms. Extended hours of sitting in an office setting conducting repetitive keyboard motions are also required.
