Position Overview:
The individual in this role is accountable for ensuring customer satisfaction across designated account activities, guaranteeing that transactions are executed accurately, promptly, and in accordance with the established protocols of Vertical Cold Storage.
Key Responsibilities:
- Serve as the primary point of contact between the warehouse and clients.
- Foster strong relationships with clients by addressing inquiries, processing orders, and resolving complaints in a timely and professional manner.
- Communicate any client feedback to management, particularly any indications of dissatisfaction.
- Coordinate the check-in and check-out process for drivers, assigning docking doors in collaboration with dock operations.
- Inform the warehouse of incoming shipments and scheduling requirements.
- Ensure that product receipts are accurately recorded in the system, adhering to Vertical Cold Storage protocols and client specifications.
- Confirm that receipt counts align with expectations, documenting any discrepancies and ensuring proper product location within the system.
- Validate that orders are entered correctly, following both Vertical Cold Storage procedures and client instructions, and effectively relay this information to warehouse personnel.
- Guarantee that products are allocated to orders per client directives and have been processed and shipped correctly from the Warehouse Management System (WMS).
- Adhere to Vertical Cold Storage procedures to ensure clients are billed accurately and promptly based on established tariff rates and any negotiated agreements.
- Address issues by clarifying problems, selecting the best solutions, expediting corrections, and following up to ensure resolution.
- Compile reports by gathering, analyzing, summarizing, and distributing information in accordance with client and Vertical Cold Storage procedures.
- Manage a multi-line phone system, ensuring prompt and courteous responses.
- Promote interdepartmental collaboration to maintain workflow efficiency.
- Uphold a safe working environment by adhering to safety regulations.
- Assist management with assigned responsibilities to support the overall operations of the facility.
Required Qualifications:
- Ability to remain seated for extended periods.
- Frequent bending, twisting, and use of hands and arms are required.
- Occasional lifting of items weighing up to 20 pounds.
- Proficient in computer applications such as Word, Excel, and Outlook.
- Strong attention to detail.
- Effective problem-solving skills.
- Excellent verbal and written communication skills in English.
Education and Experience:
- High school diploma or equivalent.
- 2-3 years of experience in customer service or warehouse office settings.
- Previous experience in warehouse or distribution environments is preferred.
Physical Requirements:
This position involves working in an office environment with potential for extended hours, occasional exposure to cold temperatures, and noise.
