Position Overview

ClearChoiceMD is in search of a reliable full-time Patient Registration Specialist for our advanced urgent care facility. The ideal candidate will possess a friendly demeanor, exceptional communication abilities, and thrive in a dynamic environment.

Work Schedule: Full-time hours are from 8 AM to 8 PM, three days a week, including rotating weekends.

Key Responsibilities:

The Patient Registration Specialist is responsible for welcoming and registering patients who arrive at the facility, collecting essential demographic and insurance details, and assisting with financial inquiries, including the acceptance and processing of copayments.

  • Welcome patients warmly and assist them as needed.
  • Gather and verify accurate demographic and insurance information for all patients.
  • Utilize the computer system to create fee slips, ensuring all information is accurate.
  • Provide necessary forms for patients to complete and ensure all registration fields are filled out correctly.
  • Keep patients informed about their account status.
  • Notify clinical staff when patients are ready for consultation.
  • Collect payments, including insurance copays and other charges.
  • Coordinate patient care and records with other clinic locations as required.
  • Compile reports from referrals and prior authorizations.
  • Maintain familiarity with all clinic locations, hours, and directions.
  • Answer phone calls, take messages, and relay them to appropriate staff.
  • Perform various administrative tasks such as photocopying, faxing, and filing.
  • Maintain organized patient records through daily filing.
  • Keep logs of daily activities, including patient counts and financial transactions.
  • Audit and balance financial transactions to ensure accurate deposits.
  • Manage mail distribution.
  • Ensure adequate office supplies and forms are available for smooth operations.
  • Provide supportive teamwork for all personnel and departments.
Qualifications:
  • Maintain a clean and organized workspace, including the patient waiting area.
  • Prepare the reception area for patients each morning.
  • Identify opportunities for process improvements to enhance patient care and service quality.
  • Report any issues to management promptly.
  • Adhere to professional standards and guidelines.
  • Exhibit calmness under pressure and effectively engage with patients.
  • Uphold confidentiality at all times.
  • Demonstrate sound judgment, initiative, and strong patient interaction skills.
  • No travel is required for this position, although training may occur at different locations.
Education and Experience:
  • High school diploma or equivalent.
  • 1-3 years of experience in customer service, preferably in a medical or retail setting.
  • Proficiency in MS Office applications such as Word and Excel.
  • Familiarity with medical software systems is advantageous but not mandatory.
Work Environment:

This role is situated in a medical office setting, with potential exposure to various health-related conditions.

Physical Requirements:

The position involves extensive computer use and may require prolonged sitting. The candidate should be prepared for moderate stress levels due to public interaction in a medical context.
