Position Overview

Key Responsibilities
  • Oversee the effective onboarding process for new Sales Agents, which includes developing Welcome Kits and Benefit Packets, facilitating orientations, and coordinating online profiles.
  • Foster a collaborative atmosphere by acting as a liaison between Agents and various departments, including Accounting, Marketing, and Human Resources.
  • Gather feedback from the Executive Director of Sales and agents regarding staff performance, involving Human Resources when necessary for disciplinary matters.
  • Collaborate with Human Resources on compliance with employment laws, recruitment, onboarding, performance management, and terminations.
  • Serve as a point of contact for other departments, including IT, Marketing, and Legal.
  • Manage office operations, including facilities management, IT issues, and vendor relations, ensuring a high standard of service.
  • Propose innovative ideas and improvements to management regarding operational processes and systems.
  • Provide administrative assistance to Agents, including document preparation, mailings, and general inquiries.
  • Assist Agents with listing preparations, including photo uploads and credit report requests.
  • Manage the ordering and tracking of business materials for all Agents.
  • Handle mail processing and maintain a mailing tracker for marketing purposes.
  • Prepare marketing materials for client presentations, ensuring quality and accuracy.
  • Support Agents with digital marketing initiatives, including photography and production needs.
  • Maintain and update office displays and social media accounts.
  • Offer backup administrative support as required.
  • Assist with various special projects as needed.
Qualifications
  • Preferred: Associate's or Bachelor's degree.
  • Desirable: 2+ years of experience in real estate or a related field.
  • Required: 5-7 years of administrative support experience, ideally in a real estate or sales context.
  • Exceptional communication, customer service, and interpersonal skills are essential.
  • Proficiency in MS Office Suite, including Word, Excel, Access, PowerPoint, and Outlook.
  • Ability to learn and utilize Real Plus software effectively.
  • Must maintain confidentiality and handle sensitive information with discretion.
  • Strong organizational and time management skills, with the ability to manage multiple tasks and meet deadlines.
