About the Role

We are seeking an experienced Administrative Assistant to join our team at F.E. Moran Group of Companies. As an Administrative Assistant, you will play a critical role in supporting our service team and ensuring the smooth operation of our office.

Key Responsibilities
  • Administrative Support: Provide administrative support to our service team, including managing office operational and administrative functions, completing in-house accounting functions, and assisting with customer portals.
  • Customer Service: Provide top-notch customer service through all interactions, including answering phones for inbound calls and assisting customers of the service department.
  • Data Management: Ensure completeness and accuracy when entering data into multiple systems, setting up new job parameters, maintaining and updating service logs, and updating field staff calendars to complete assignments.
Requirements
  • Experience: Previous experience as an Administrative Assistant, preferably in a construction-related or fire protection industry.
  • Technical Skills: Strong data entry and computer skills, including Microsoft Office suite, database systems (Penta a plus), data retrieval, report generation, and Inspect Point (BIG Plus).
  • Education: High school diploma or equivalent; Bachelor's degree in business, accounting, or related preferred.
  • Soft Skills: Ability to communicate effectively, both verbally and written, to varied levels of audiences; ability to work effectively in a team environment; and ability to prioritize tasks and meet deadlines.
