We are seeking a highly skilled and experienced Scheduler Sr to join our team at Texas Oncology. As a key member of our clinical operations team, you will play a critical role in ensuring the smooth and efficient scheduling of patient appointments, procedures, and surgeries.
Key Responsibilities- Answer incoming calls and direct callers to the appropriate personnel or page clinic staff as needed.
- Schedule new patients, patient referrals, and returning patients in our computer system, adhering to physician and office guidelines.
- Obtain and enter all necessary insurance authorizations and correspondence related to referrals in patient charts and electronic medical records.
- Collect co-pays, deductibles, and other out-of-pocket amounts at the time of visit.
- Maintain the primary office scheduling template, including physician meetings, satellite schedules, rounding, and call coverage.
- Arrange for patients to receive financial counseling as needed.
- Demonstrate a thorough understanding of patient confidentiality and protect patient and clinic information.
- Follow established policies and procedures to contribute to the efficiency of the front office.
- Cover for other front office functions as requested.
- Prepare correspondence, memos, forms, and other typing as requested by the supervisor.
- Schedule outpatient appointments, testing, surgeries, and hospital admissions as needed, obtaining necessary pre-certification.
- Communicate with patients regarding scheduled surgeries or tests, inquiring about test specifics and gathering patient information as needed.
- Follow up on all pre-operative tests to ensure clearance for surgical procedures and communicate with physicians and patients if further testing is required.
- Schedule post-operative follow-up appointments with physicians.
- High school diploma or equivalent required.
- 0-3 years of experience in a medical office setting, preferably in a scheduling or coordination role.
- Knowledge of medical terminology and coding a plus.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office (Outlook, Word, Excel) required.
This role will be performed in an office environment, involving contact with patients and the public. The ideal candidate will be able to work in a fast-paced environment, prioritize tasks, and maintain confidentiality.
