Facilities Associate

We are seeking a highly skilled and experienced Premises Associate to join our team at TriOptus. This key role will be responsible for maintaining firmwide operational standards, ensuring the smooth day-to-day functioning of our premises, and providing exceptional support to our employees.
Key Responsibilities:
- Maintain the facilities and report/resolve any facilities-related issues or requests through a ticket system.
- Manage floor plans and assist with space planning using CAFM Software.
- Coordinate and schedule employee workstation moves with the IT Helpdesk.
- Schedule, coordinate, and supervise vendor work with the Building, including day porter services.
- Assist with event setup and breakdown, both internal and external.
- Manage building IDs, guest badges, and registration with building security, ensuring all necessary company security measures are enforced.
- Contribute to facilities projects, including build-outs, demises, and space reconfigurations.
- Respond to facilities-related issues, such as power outages, leaks, HVAC issues, and more.
- Demonstrate strong email communication skills and basic computer knowledge, including working knowledge of office machines.
- Collaborate with various levels of business groups and senior management, showcasing confidence and excellent communication skills.
- Work effectively within a team, taking control of situations and resolving them with minimal disruption to business operations.
- Succeed in a fast-paced, deadline-driven environment, maintaining attention to detail and prioritizing tasks accordingly.
- Apply problem-solving skills, taking initiative and critically analyzing processes and procedures for continuous improvement.
- Coordinate multiple activities simultaneously and lift up to 50lbs.
Requirements:
- Preferred Qualifications:
- Strong knowledge of MS Office, including Outlook, Word, Excel, and PowerPoint.
- Ability to effectively communicate and collaborate with diverse personalities in all levels of management, as well as outside vendors and clients, by maintaining objectivity and demonstrating maturity.
- Strong customer service skills are a must.
- Good interpersonal, organizational, communication, and problem-solving skills are required.
- Analytical, detail-oriented, flexible, and decisive.
- Proactive & solutions-oriented; innovative.
- Learning agile; able to adapt quickly and appropriately in accordance with the constant evolution of the company and industry.
- Responsive to client needs.
- Collaborative; energized by the open exchange of ideas.
- Basic Qualifications:
- 3 years of related Facilities and Office environment experience.
Work Location:
This role is expected to be in the New York office at least 4 days per week.
