Job Description

Job Summary:

The Special Events Coordinator will be responsible for planning, managing, and executing all aspects of special events, conferences, and annual gatherings for Redemption Church. This role will work closely with the Senior Pastors' office, Creative Team, and other departments to ensure seamless event execution.

Key Responsibilities:

  • Plan and coordinate all aspects of special events, conferences, and annual gatherings, including venue selection, catering, entertainment, and logistics.
  • Collaborate with the Senior Pastors' office and Creative Team to develop event concepts, themes, and budgets.
  • Manage event timelines, schedules, and budgets, ensuring timely and within-budget execution.
  • Coordinate with vendors, suppliers, and stakeholders to ensure seamless event execution.
  • Develop and maintain relationships with vendors, suppliers, and stakeholders to ensure repeat business and excellent service.
  • Manage event registration, ticketing, and attendance tracking.
  • Coordinate with the Marketing Department to develop and implement marketing strategies for events.
  • Work closely with the Hospitality Department to plan and execute event menus, catering, and hospitality services.
  • Manage event budgets, including cost estimation, tracking expenses, and ensuring events stay within budget.
  • Develop and maintain event documentation, including event plans, timelines, and budgets.
  • Provide exceptional customer service to event attendees, vendors, and stakeholders.
  • Collaborate with the Events Team to develop and implement event strategies, including event themes, concepts, and logistics.
  • Manage event evaluations and feedback, ensuring continuous improvement of event execution.

Requirements:

  • Typically 3-5 years of experience in event planning or management, with at least 1-2 years in a leadership role.
  • Strong knowledge of event planning processes, from concept to execution.
  • Ability to manage multiple tasks and projects simultaneously, with strong organizational and time management skills.
  • Experience in creating and managing event budgets, including cost estimation, tracking expenses, and ensuring events stay within budget.
  • Ability to source, negotiate, and manage relationships with vendors, including catering, entertainment, and venues.
  • Understanding of event marketing strategies, including social media, email campaigns, and partnerships.
  • Excellent verbal and written communication skills to interact effectively with clients, team members, and vendors.
  • Proven ability to lead and motivate a team, including delegating tasks and providing direction.
  • Strong problem-solving skills to handle unexpected issues that arise during events.
  • High attention to detail to ensure all aspects of an event are executed flawlessly.
  • Strong focus on customer service to ensure client satisfaction.
  • Ability to come up with creative ideas and solutions to enhance the event experience.
