Job Overview

The Accounting Services Coordinator is responsible for managing financial operations from Monday to Friday, with a standard work schedule of 8am to 5pm. This position may offer remote work opportunities, subject to prior approval from management.


Compensation:

Hourly Pay Range: $20.63 - $27.15


Key Responsibilities:
  • Perform data entry tasks and maintain daily communication with vendors and customers, addressing any inquiries or issues that may arise.
  • Resolve escalated discrepancies related to invoices.
  • Execute General Ledger entries, focusing on loans, sweep accounts, and distributions.
  • Conduct bank reconciliations and assist with month-end and year-end closing procedures.
  • Oversee subcontractor administration and ensure all necessary documentation, such as certificates of insurance and W9 forms, are on file.
  • Manage the company credit card program, tracking expenses and gathering supporting documentation.
  • Collect and compile information required for General Liability and Workers Compensation audits.
  • Create and review state-specific month-end reports for Accounts Receivable and Accounts Payable.
  • Maintain asset tracking and manage purchase records.
  • Handle job costing and review sales tax reports between accounting software and related systems.
  • Assist with travel arrangements for technicians and process per diem checks.
  • Occasionally provide backup support for the Accounts Manager.
  • Facilitate payments for company purchases and maintain an organized work environment.
  • Promote safe work practices and contribute to a secure workplace.
  • Attend company meetings and maintain consistent attendance, whether working remotely or in the office.
  • Uphold confidentiality regarding the company’s financial information.
  • Perform other duties as assigned.

Education Requirements:

A high school diploma or GED is required. An Associate's or Bachelor's degree in Business or Accounting is preferred.


Professional Experience:

A minimum of three years of experience in accounting, finance, or bookkeeping, with a focus on general accounting functions, is preferred.


Licenses and Certifications:

Familiarity with Avalara, Excel, Microsoft Office, and QuickBooks/Quicken is essential.


Knowledge, Skills & Abilities:
  • Exceptional oral and written communication skills.
  • Able to interact positively with employees at all levels.
  • Capable of working independently and efficiently, with a willingness to assist others.
  • Strong understanding of accounting processes and procedures.
  • Proficient in accounting software and internet applications.
