Job Overview

Position Overview:

Under general supervision, the incumbent is responsible for maintaining precise records regarding the quantity, type, and value of supplies. This includes preparing journal entries, managing monthly and year-end closings, and conducting fixed asset maintenance along with general ledger reconciliations in accordance with the organization's policies and procedures. The role may also require occasional operation of a forklift and involvement in inventory needs assessment, materials distribution, procurement planning, and funds management. Additionally, the incumbent will oversee the inventory control program.

Work Scope: This position is primarily based at the healthcare facility, with oversight responsibilities extending to other centers. The incumbent will receive administrative guidance from the supervisor, aligned with the department's missions and functions.

Key Responsibilities:

  • Assist in the development and maintenance of an efficient inventory management system.
  • Maintain accurate ongoing inventory records for each department, preparing and reconciling reports as necessary.
  • Compile data on the receipt or distribution of goods, calculating inventory balances, pricing, and costs.
  • Keep records and generate reports for inventory reconciliation.
  • Identify specifications for purchasing items in line with the organization's procurement policies.
  • Ensure the security of inventory system files through restricted access to main programs.
  • Continuously seek ways to enhance operations, reduce turnaround times, and streamline processes to provide seamless service.
  • Accurately perform inventory data entry in a timely manner, utilizing an electronic records system for departmental documentation.
  • Handle incoming mail and manage distribution effectively.
  • Process purchase orders to ensure proper asset tagging.
  • Maintain all necessary documentation related to the procurement of goods and services.
  • Operate a forklift and other equipment as needed for inventory management.
  • Plan and coordinate the transition of obsolete products with newer replacements.
  • Address inquiries from various departments regarding property and supply policies, ensuring compliance with organizational standards.
  • Participate in meetings as required.
  • Perform additional job-related duties as assigned, contributing to team objectives.

Minimum Qualifications:

  • Associate's Degree in Materials Management, Inventory Control, or a related field, along with two years of relevant experience in inventory, administrative, or warehouse settings, including familiarity with computerized inventory and accounting systems; or an equivalent combination of education and experience demonstrating the capability to fulfill the responsibilities of this position.

Licenses and Certifications:

  • Forklift certification must be obtained within six months of hire.
  • A criminal background check and a National FBI fingerprint check are required upon recommendation for hire.
  • Possession of a valid driver's license may be necessary, with no major traffic violations in the past three years.
  • Compliance with the organization's insurance requirements may be necessary for operating program vehicles.
  • Fluency in both the local language and English may be required based on departmental needs.
