Job Summary

We are seeking a highly skilled and bilingual Front Intake Call Center Agent to join our team at Garces, Grabler & LeBrocq. As a key member of our client acquisition team, you will play a pivotal role in determining client eligibility and making referrals to other practice areas and departments.

Key Responsibilities:

  • Answer phone calls and respond to prospective clients in a timely and professional manner.
  • Ask a series of questions to compile data and determine the next course of action.
  • Receive, evaluate, and collect data, and coordinate referral activities with the Referral Department.
  • Review alert calls for leads and create leads on the case management system.
  • Process and upload documents in the case management system.
  • Organize and scan documents.
  • Research police reports in Legal Plex.
  • Schedule and calendar appointments for investigators.
  • Maintain legal files and other relevant information in digital databases.
  • Dispute denial claims.
  • Makes transportation arrangements for clients and manages car service accounts.
  • Interact with attorneys and paralegals to discuss intakes timely and communicate constructively.
  • Receive and send email communication daily.
  • Provide support to other administrative staff and perform other duties as assigned.

Requirements:

  • Excellent communication and interpersonal skills.
  • Ability to use standard office equipment.
  • Proficient in Smart Advocate or similar case management system.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Highly self-motivated and able to multi-task in a demanding environment.
  • Ability to display a positive and professional demeanor with internal and external clients.
  • Flexibility and adaptability to change direction and work overtime as needed.
  • Possess critical thinking and excellent people skills.
  • Understanding of legal terminology and documentation.
  • Thorough understanding of GGL's core values and goals.
  • Experience in working in a professional environment, preferably in a Personal Injury legal firm or Medical Industry.
  • Bilingual, facility with English and Spanish is required.

Education and Experience:

  • High School Diploma, GED or equivalent.
  • Data Management preferred.
  • At least 2 years of experience in a Personal Injury legal firm or Medical Industry as a Receptionist, Medical Assistant or Referral Assistant.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Able to travel to offices of GGL as needed.
