Position Overview:

PRIMARY RESPONSIBILITIES:
This role encompasses providing administrative and clerical assistance to the Assistant Director of Maintenance & MEP, the Maintenance Supervisor, and the Locksmith & Life Safety Coordinator within the Facilities-Maintenance department. Key responsibilities include managing administrative tasks such as scheduling work, coordinating contractors, procuring supplies and equipment, tracking invoices and expenses, reviewing utility bills, and overseeing PM/service contracts to ensure the safe and efficient operation of all campus facilities and equipment. The Coordinator will also facilitate workflow and collaboration across various areas within the facilities department.

Key Duties:
  • Oversee purchasing, invoicing, and distribution of supplies, equipment, and tools for the maintenance department.
  • Direct the routing of work order tickets in the CMMS (New Rocket "Service Now") to maintenance personnel and other facilities divisions.
  • Coordinate the scheduling of third-party contractors and ensure the completion of contracted work, including tracking contractor presence on-site and liaising with security and facilities staff.
  • Maintain equipment preventive maintenance schedules and manage scheduled PM tasks by in-house staff and contractors, creating a comprehensive campus schedule of items and associated PM timelines.
  • Support the MEP Director and Life Safety Coordinator with the procurement and maintenance of state permits for elevators, BPVs, and event permits.
  • Escort vendors as necessary and coordinate with third-party contractors to complete projects and PM tasks.
  • Act as a liaison with vendors for ordering, receiving, and ensuring payment for goods and services.
  • Conduct routine inspections of buildings to identify issues with equipment, fixtures, building components, and Furniture, Fixture & Equipment (FF&E).
  • Assist with inventory management and organization of storage areas.
  • Gather, analyze, and prepare data for review, including staff work order completion statistics, campus utility bills, and more.

Qualifications:
  • High school diploma or equivalent GED.
  • Ability to read, write, and comprehend instructions related to maintenance tasks.
  • Proficiency in using a digital work order system on a computer or tablet.
  • Capability to move, lift, carry, push, pull, and place objects weighing up to 50 pounds without assistance; heavier tasks may require assistance.
  • Ability to navigate stairs, service ramps, and/or ladders safely.
  • Must possess or be able to obtain an Indiana driver's license.
  • Detail-oriented, thorough, and adaptable to changing situations.
PREFERRED QUALIFICATIONS:
  • Experience in a maintenance role within an educational institution.
  • Familiarity with local building codes, regulations, and ordinances.
  • Ability to read and interpret blueprints and schematics.
  • Experience in purchasing/procurement.
  • Proficiency in using hand and power tools.
STARTING SALARY RANGE: $20.50
