Job Overview

Position Summary:
The Facility Administration Specialist plays a crucial role in supporting the management of the Bioenergy Facility. This position involves a variety of administrative tasks aimed at ensuring smooth operations and effective communication within the facility.

Key Responsibilities
  • Procurement Management: Oversee the acquisition of bulk chemicals, maintain purchase orders, and manage delivery schedules while keeping accurate records.
  • Inventory Control: Ensure the procurement and stocking of personal protective equipment (PPE), supplies, and other necessary materials.
  • Documentation: Maintain comprehensive records of all incoming deliveries and manage coding and documentation for materials purchased.
  • Invoicing: Handle customer invoicing and ensure all supporting documentation is accurate and complete.
  • Report Management: Organize and archive all meeting reports, visitor logs, vendor timesheets, and other essential documents.
  • Logistics Coordination: Serve as the primary point of contact for scheduling and reporting on incoming loads of raw materials, ensuring effective communication with customers.
  • Human Resources Support: Assist in onboarding and training new employees, ensuring compliance with safety and company policies.
  • Safety Compliance: Ensure that all safety data sheets are current and properly displayed, and collaborate with management to maintain updated safety plans.
  • Administrative Duties: Manage plant keys, oversee record-keeping for lockout/tagout procedures, and maintain organized forms and documentation.
  • General Support: Provide administrative assistance, including timesheet management, inventory updates, and coordination of housekeeping tasks.
Qualifications
  • Education: A diploma in a relevant field is required.
  • Experience: A minimum of five years in an administrative or office role is essential.
  • Technical Skills: Proficiency in Microsoft Office Suite and adaptability to new digital tools.
Core Competencies
  • Strong organizational and problem-solving skills.
  • Excellent communication abilities in English.
