PROPERTY ADMINISTRATOR

Partners is on the lookout for a proactive Property Administrator who will be instrumental in providing exceptional property management services while assisting the Property Manager in various operational tasks. This integral position ensures the effective management of property assets through the execution of daily responsibilities and the maintenance of high standards in operational efficiency and tenant satisfaction.

KEY RESPONSIBILITIES

  • Accounts Payable: Process invoices in the designated system according to the general ledger chart of accounts, ensuring all necessary documentation is in place for approval. Prepare tenant billbacks efficiently.
  • Accounts Receivable: Monitor tenant account ledgers for payments, late fees, and credits. Handle necessary paperwork for ledger corrections and conduct collection calls, documenting all efforts as per established guidelines.
  • Reporting: Assist the Property Manager in generating monthly reports for clients.
  • Documentation Management: Maintain both digital and physical filing systems, update service trackers, and keep tenant contact lists current.
  • Utility Coordination: Liaise with utility providers to establish, transfer, and terminate services as required.
  • Compliance Management: Aid the Property Manager in collecting and reviewing tenant Certificates of Insurance to ensure adherence to lease agreements and client specifications.
  • Maintenance Coordination: Collaborate with tenants and vendors to organize routine maintenance tasks and repairs as directed by the Property Manager.
  • Work Order Management: Receive and manage work order requests, coordinating with building technicians or vendors as necessary.
  • Activity Scheduling: Oversee scheduling of building activities, including move-ins and move-outs, while verifying insurance compliance.
  • Customer Relations: Foster positive relationships with tenants and vendors, ensuring high standards of customer service.
  • Communication: Handle telephone inquiries as needed.
  • Contract Preparation: Prepare vendor service agreements as required.

QUALIFICATIONS

  • Bachelor's degree is highly preferred.
  • Prior experience in an administrative role within the real estate sector.
  • Exceptional communication skills, both written and verbal.
  • Ability to cultivate and maintain relationships with clients and stakeholders.
  • Experience in engaging with decision-makers in a professional capacity.
  • Strong organizational and interpersonal skills.
  • Capacity to excel in a collaborative work environment.
  • Demonstrated initiative and ability to manage multiple tasks effectively.
  • Proficiency in Microsoft Office Suite and Yardi software.
  • Skills in conflict resolution, sales, and contract negotiations.
  • Ability to maintain confidentiality regarding sensitive information.
