About the Position:

Position Overview

The Medical Recruitment Specialist plays a crucial role in the success of the Physician Recruitment Division by delivering exceptional administrative assistance, customer engagement, and project management throughout the recruitment lifecycle.



Essential Qualifications
  • Licensure or other certifications:
  • Educational Requirements: High School Diploma or GED.
  • Minimum Experience: Three (3) to five (5) years of administrative experience.

Job-Specific Knowledge, Skills, and Abilities
  • Proven ability to proactively address challenges while demonstrating sound judgment and effective stress management.
  • Strong written and verbal communication skills.
  • Proficient in computer applications: MS Office (Word, Excel, PowerPoint), familiarity with publishing software (Adobe) is advantageous.
  • Capacity to take initiative, work autonomously, manage multiple tasks, meet deadlines, and prioritize effectively with minimal supervision.
  • Ability to manage confidential information with integrity and maintain a strong work ethic.
  • Exhibits initiative; must be able to anticipate needs and adapt accordingly.

Key Responsibilities
  • Supports the Physician Recruitment Division by handling incoming inquiries and providing general assistance regarding interview and onboarding processes.
  • Organizes provider interviews, including the creation of interview schedules, virtual meeting arrangements, accommodations, travel logistics, and local tours.
  • Collaborates with administrative personnel and Physicians to ensure candidates experience a seamless and informative site visit.
  • Assists in planning activities for spouses and children during site visits to highlight community benefits.
  • Coordinates meals and meetings for provider candidates as necessary.
  • Provides administrative support to the Director of Physician Recruitment and Recruiters as required.
  • Maintains relationships with vendors, including local real estate agents, moving services, and lodging providers, ensuring competitive pricing and keeping management updated on vendor service status and costs.
  • Manages the registration process and prepares materials such as brochures and literature for various recruitment events, including medical fairs and professional meetings.
  • Oversees the onboarding process and assists in providing candidate information to relevant departments, including CVO, HR, Medical Staff, Managed Care, and state requirements.
  • Offers assistance with additional administrative tasks as assigned.
