Rental Coordinator Job Description

Wagner Equipment Co. is seeking a skilled Rental Coordinator to join our team. As a key member of our rental operations team, you will play a critical role in ensuring the smooth execution of rental transactions and providing exceptional customer service.

Key Responsibilities:
  • Invoice customers for rental equipment, including Caterpillar and non-CAT rentals, damage charges, and demos.
  • Process rental transactions accurately and efficiently, maintaining records of all rental equipment transferred or sold out of the rental fleet.
  • Apply applicable taxes to invoices and review shipping and receiving documents from branches for accuracy and completeness.
  • Assist the Rental Fleet Sales Administrator with preparation, processing, and distribution of rental, credit, and sales documents in a timely manner.
  • Input lost-sales rental data into the computer and use DBS to input reservations, write rental contracts, process exchanges, and close rental invoices.
  • Handle overdue rental contracts and expired reservations, ensuring all contracts are current and signed.
  • Coordinate shipping and receiving of machines with yard personnel and thoroughly understand the rental process to determine which inventory should be rented.
  • Complete rental transactions through direct contact with customers and assist walk-in customers with information on equipment availability, job performance, and options.
  • Quote rates and assist customers in making decisions on the best equipment option and resolve financial, service, and rental issues related to invoicing or account information.
  • Assist customers in locating and choosing the correct machine for their job and application.
Requirements:
  • High School Diploma or GED required; College Degree preferred.
  • Courses in computers, business, and office administration preferred.
  • 1 year experience in a heavy equipment environment, preferably with customer service responsibilities.
  • 1-3 years administrative/clerical experience and 1-3 years customer service experience.
Work Environment:
  • Quiet indoor work environment.
Physical Demands:
  • Talking, sitting, use of hands, hearing, squatting/kneeling, and ability to ascend/descend ladders, stairs, etc.
  • Medium work involving lifting and/or moving objects up to 32 pounds or more.
